Secretary/Executive Assistant to manage the office of the Chancellor at Sai University, acting as the liaison with various internal and external stakeholders, and handling strategic, administrative, and coordination responsibilities in a highly professional and confidential manner. Job Title: Secretary / Executive Assistant, Chancellors Office Reporting to: Chancellor, Sai University Location: Chennai Role Summary: Secretary/Executive Assistant is an administrative position managing the office of the Chancellor and serving as the liaison between his office and the various constituents of the University. The primary responsibility is to ensure that there is adequate coverage of the office on various aspects at all times while managing administrative and strategic priorities. These need to be professionally project managed through effective coordination, communication and execution in a timely and efficient way. Responsibilities: - Be an integral team member of the Chancellors Office in providing assistance and support in executing, managing, successfully implementing and ensuring the completion of University-wide strategic projects, new initiatives and operational activities. - Take briefs and directions from the Chancellor to manage his priorities and ensure efficient and effective service delivery. - Plan, organize and manage events as required. - Relieve the Chancellor of operational details by planning and coordinating the implementation of academic or administrative policies and decisions. - Exercise initiative and independent judgment in the daily activities of the office and manage the staff in the office of the Chancellor. - Safeguard the confidentiality of University administration by exercising tact and discretion in communicating information to faculty, students, staff, and external stakeholders, and in handling administrative records, files, and similar confidential items. - Provide ongoing analyses of institutional planning efforts and conduct or oversee special initiatives as needed to ensure that the Chancellors objectives and the Universitys priorities are administered at the highest level with timely and accurate completion. Key Skills: - Relevant and considerable experience in supporting positions at the top management / senior level with grace, patience and sophistication. - Intelligent, seasoned and mature individual with a strong background and experience as an Executive Assistant. - Discreet and able to manage a contemporary technology-driven office. - Strong eye for detail, ability to multitask with excellent follow-up skills. - Highly organised and proactive; able to think independently and act efficiently. - Extremely polished and professional written & verbal communication skills. - Ability to take charge of activities in collaboration with various stakeholders and execute tasks effectively. - Facility with software tools and ability to build databases and scalable administration systems. - Strong interpersonal and human skills. - Ability to learn and adapt within a new and dynamic organisation. Qualification: - Graduate / Postgraduate with preference given to candidates with a Corporate Secretaryship background. - The final designation of Secretary or Executive Assistant will be decided based on the candidates relevant experience and interview performance.

Description: Role Summary: Location: Chennai - Experience: 12-15 years (with at least a few years in educational institutions) JD: Senior leadership role to oversee end-to-end Finance, Accounts, Audit, Taxation, Funding, Legal, Commercial and Administrative functions for the University, working closely with the Chancellor and Vice Chancellor on both operational and strategic matters. Reporting to: - Operational matters: Vice Chancellor - Management & Strategic matters: Chancellor Role Overview: The Director Finance & Administration will be responsible for leading and managing the Universitys Finance and Administrative functions. This is a senior leadership role that covers Finance, Accounts, Audit, Taxation, Funding, Legal, Commercial and Administration activities. The incumbent will work closely with the Chancellor and Vice Chancellor to support strategic decision-making, ensure strong financial governance, and build robust administrative processes in line with institutional goals. Key Responsibilities: Finance & Accounts: - Oversee the entire Finance & Accounts function, including budgeting, financial planning, cash flow management and financial reporting. - Ensure timely preparation of monthly, quarterly and annual financial statements in line with applicable accounting standards and regulatory norms. - Monitor income, expenditure and variance analysis, ensuring cost control and optimal utilisation of resources. Audit, Taxation & Compliance: - Lead statutory, internal and special audits; ensure timely closure of audit observations. - Manage direct and indirect tax compliances including Income Tax, GST and other applicable regulations. - Ensure adherence to all statutory, regulatory and university-specific compliance requirements. Funding & Commercial: - Support fundraising initiatives, grants, endowments and external funding opportunities in collaboration with leadership. - Negotiate and manage commercial contracts, vendor agreements and service-level arrangements. - Evaluate and support key financial decisions related to capital expenditure, projects and new initiatives. Legal & Governance: - Coordinate with legal counsel on matters relating to contracts, disputes, compliance and risk management. - Ensure that financial and administrative policies are aligned with the Universitys governance framework. Administration & Operations: - Oversee key administrative functions and ensure smooth day-to-day operations in coordination with relevant departments. - Implement and improve systems, processes and controls to enhance operational efficiency and service delivery. - Provide support to academic and non-academic units through effective administrative policies and practices. Stakeholder Management & Leadership: - Work closely with the Chancellor, Vice Chancellor and senior leadership on strategic initiatives and institutional planning. - Lead, mentor and develop the Finance & Administration teams, fostering a culture of accountability, integrity and collaboration. - Prepare and present financial and operational reports to leadership and governing bodies as required. Qualifications: - ACA / FCA qualification is mandatory. - 12-15 years of overall experience, with at least a few years in educational institutions (university / higher education / similar institutional setups). Preferred Profile: - Strong exposure to finance leadership roles in complex, multi-stakeholder environments. - Prior experience in educational institutions will be highly preferred. - Based out of Chennai or willing to relocate, with proficiency in spoken Tamil. - Excellent communication, stakeholder management and leadership skills. - Ability to work closely with top management on both strategic and operational priorities. Compensation & Joining: - Joining Time: Immediate to within 4 weeks preferred.
