Senior Retail Media Specialist - Operations & Finance Focus

Key Responsibilities

- Strategic Financial Workflow Governance & Reconciliation

- Financial System Management: Own or guide the accurate setup in media buying platforms (e. , Prisma/Media Ocean), including comprehensive fee line inputs and campaign creation for complex buys.

- Budget Compliance: Help media buyers ensure all planned campaigns and Insertion Orders (IOs) are fully aligned with client-approved budgets and supported by necessary financial documentation, such as Media Authorization Forms (MAFs), prior to launch.

- Monthly Actualization: Facilitate the end-to-end monthly actualization workflows (accruals and cash) and coordinate closely with the Finance Reconciliation team and media buyers to ensure timely and accurate completion.

- Invoice Management & Clearance: Manage IPS queues and invoice ingestion, ensuring timely reconciliation.

- The Specialist is responsible for matching vendor invoices to approved media buys and clearing them within defined Service Level Agreement (SLA) windows.

- Discrepancy Resolution: Systematically investigate and document all invoice discrepancies.

- Flag, report, and escalate issues when invoices threaten to exceed planned or budgeted amounts.

II. Ad Operations (Ad Ops) & Platform Compliance

- Display Ad Ops: Complete or guide the necessary Prisma inputs and configurations for display campaigns requiring third-party tagging.

- Trafficking Coordination: For relevant display and video campaigns, coordinate with the Media Technology team to ensure correct trafficking, creative deployment, and timely tag delivery (e. , through Campaign Manager/DCM).

- Audit & QA Support: Support internal and external audit documentation and quality assurance (QA) processes for key Retail Media platforms, including Search/PLA, Amazon DSP, and TTD DSP, ensuring compliance with operational standards and pacing protocols.

- Automation Augmentation: Actively work with third-party tech partners (e. , Pacvue and Skai) and other vendors to augment and scale automation workstreams that support standards adherence and operational efficiency.

III. Workflow, Training & Documentation

- Workflow Guidance: Guide media team Associates and Senior Associates on executing automated data pulls for pacing workflows and campaign flowcharting using internal systems (e. , Guideline Planner). Process Documentation: Support the development and continuous maintenance of RACI plans per client account, detailing responsibilities for finance and ad operations support functions.

- Training & Mentorship: Lead training sessions for Associates and Managers on proper billing protocols, operational procedures, maintaining QA standards, and ensuring all process documentation is current.

- Data Collaboration: Collaborate with media and analytics teams to validate and ensure efficient, high-quality data workflows that feed into reporting and billing systems.

IV. Collaboration & Enablement

- Onboarding: Play a key role in the onboarding and training of junior staff on complex financial and ad ops processes.

- Innovation: Actively contribute to workflow innovation and continuous process improvement initiatives to drive operational excellence and reduce manual effort.

- Stakeholder Management: Coordinate regularly with Retail Media client team leads, Finance partners, and Strategy & Operations leadership to align on service levels, troubleshoot high-priority issues, and communicate process updates.

Required Qualifications:

- Experience: 4+ years of relevant experience in a Digital Media Operations, Financial Governance, or Media Finance role, preferably within an agency, Retail Media network, or large ad tech firm.

- Platform Expertise: Expert-level working knowledge of core media buying platforms like Prisma and/or Media Ocean (or similar financial management systems) is non-negotiable.

- Financial Acumen: Proven ability to manage complex budgeting, IO creation, invoicing, actualization, and discrepancy resolution processes.

- Technical Skills: High proficiency in Microsoft Excel (pivot tables, v-lookups, complex formulas).
