Job Title: Post Close Manager - U.S. Mortgage
Department: Mortgage Operations

Position Summary:
- The Post Close Manager oversees all activities in the post-closing department to ensure timely, accurate, and compliant delivery of closed loan packages to investors, warehouse banks, and custodians. This role ensures loan files meet investor, agency (Fannie Mae, Freddie Mac, FHA, VA, USDA), and company guidelines prior to funding, purchase, or insuring.
- The manager leads a team responsible for loan package auditing, document tracking, trailing documents, insuring, and final certification - maintaining compliance with federal, state, and investor requirements.
Key Responsibilities:
1. Leadership & Team Management
- Lead, train, and supervise post-closing team members, including document auditors, insuring specialists, and shipping coordinators.
- Manage daily workflow and assign tasks to ensure all files are reviewed and shipped within defined SLAs.
- Conduct performance evaluations, identify skill gaps, and implement training initiatives.
- Foster a culture of accountability, collaboration, and continuous process improvement.
2. Loan Review & Shipping
- Oversee final QC of closed loan packages to confirm that all required documents are present, signed, and executed correctly.
- Ensure loans are funded, balanced, and shipped accurately to investors or warehouse banks.
- Verify MERS registration, loan number consistency, and document integrity.
- Coordinate with closing, funding, and secondary marketing teams to resolve post-close discrepancies quickly.
3. Insuring & Trailing Documents
- Supervise the FHA, VA, and USDA insuring processes, ensuring government loans are insured within required timeframes.
- Manage trailing document tracking, including recorded security instruments, final title policies, and assignments.
- Maintain investor pipelines to ensure all loans are purchased timely.
- Coordinate with title companies, county offices, and custodians for missing or defective documents.
4. Compliance & Audit
- Ensure compliance with agency, investor, and CFPB regulations.
- Oversee the preparation and response for internal and external audits (investor, QC, state, or agency).
- Maintain and update SOPs for post-closing and insuring processes.
- Review audit findings and implement corrective actions to prevent recurrence.
5. Reporting & Communication
- Provide daily/weekly reports on shipping volume, purchase rates, insuring status, and trailing document aging.
- Collaborate with other department heads (Closing, Secondary, Compliance, and Licensing) to ensure seamless workflow.
- Report delays or recurring issues to leadership with root cause analysis and action plans.
Required Skills & Competencies:
- Strong knowledge of U.S. mortgage lending processes, including post-closing, funding, insuring, and investor delivery.
- Deep understanding of agency guidelines (Fannie Mae, Freddie Mac, FHA, VA, USDA).
- Experience with loan origination systems (LOS) such as Encompass, or ICE Mortgage Technology.
- Excellent attention to detail, organizational, and analytical skills.
- Strong leadership, coaching, and communication abilities.
- Ability to manage multiple priorities and meet strict investor deadlines.
Education & Experience:
- Degree in Finance, Business Administration, or a related field (or equivalent experience).
- 4-7 years of experience in U.S. mortgage post-closing operations.
- 3+ years in a supervisory or managerial role.
- Prior experience working with correspondent, retail, or wholesale channels preferred.
Preferred Qualifications:
- Experience with FHA Connection, VA WebLGY, and USDA GUS systems.
- Knowledge of loan securitization and warehouse funding processes.
- Exposure to eMortgage / Hybrid Closing workflows.
