Job Summary:

The Operations Manager/Head is responsible for overseeing the organization's day-to-day operations and ensuring the seamless execution of projects from initiation to final handover. This role drives operational excellence by managing workflows, resources, budgets, and cross-functional teams while ensuring projects are delivered on time, within budget, and to the highest quality standards.

Key Responsibilities:

Operations Management:

- Oversee the complete operational workflow from project initiation to final handover.

- Develop and implement operational strategies, SOPs, and processes to improve efficiency.

- Ensure effective collaboration across departments to meet project timelines.

- Monitor daily operations and proactively resolve operational bottlenecks.

- Drive continuous process improvement initiatives across the organization.

Project Coordination & Execution:

- Monitor all ongoing projects from planning through completion.

- Coordinate with Design, Procurement, Site Execution, and Project Management teams.

- Ensure projects are delivered within approved timelines, budgets, and quality standards.

- Review project schedules and conduct regular progress meetings.

- Identify project risks and implement corrective actions.

Client Relationship Management:

- Act as the primary escalation point for key clients.

- Maintain regular communication regarding project progress and milestones.

- Attend client meetings, review meetings, and site visits as required.

- Resolve client concerns promptly to ensure high customer satisfaction.

- Build long-term client relationships that generate repeat business and referrals.

Procurement & Vendor Management:

- Work closely with the Procurement team to ensure timely sourcing and delivery of materials.

- Monitor procurement planning, vendor performance, pricing, and purchase approvals.

- Develop strong vendor relationships and negotiate commercially beneficial terms.

- Ensure cost-effective procurement while maintaining quality standards.

Department Coordination:

- Supervise and coordinate the following departments: Design, Project Execution, Procurement, Sales, and Accounts.

- Conduct regular cross-functional review meetings.

- Promote clear communication, accountability, and collaboration across teams.

Business Growth & Strategy:

- Support business growth through improved operational efficiency and scalability.

- Identify opportunities to optimize costs and increase profitability.

- Assist management in achieving business targets and expansion plans.

- Develop operational strategies aligned with the company's long-term vision.

- Drive productivity and performance improvements across departments.

Team Leadership:

- Lead, mentor, and motivate departmental heads and operational teams.

- Define Key Performance Indicators (KPIs) and monitor team performance.

- Conduct regular performance reviews and provide constructive feedback.

- Foster a culture of accountability, collaboration, and continuous improvement.

Financial & Commercial Oversight:

- Monitor project budgets, operational expenses, and profitability.

- Review quotations, purchase approvals, project costing, and payment schedules.

- Coordinate with the Accounts team for billing, collections, and vendor payments.

- Ensure effective utilization of organizational resources.

Reporting & Compliance:

- Prepare weekly and monthly operational reports for management.

- Track project status, operational KPIs, client satisfaction, and departmental performance.

- Ensure compliance with company policies, contractual obligations, and statutory requirements.

- Maintain accurate project and operational documentation.

Experience:

- 8-10 years of experience in Operations Management, Project Management, or Business Operations within the Architecture, Interior Design, or Construction industry.
