Head of Operations
Muses Consulting Studio
Reports to: Founder & CEO
Manages: All Campaign Managers and Script Writers (across all campaign teams)
Location: [India-based / Remote]
Timings: 2-11PM IST, Monday to Friday
About the Role:
Muses runs every client campaign through a dedicated two-person pod (Campaign Manager + Scriptwriter) that owns 12 campaigns end-to-end. The Head of Operations is the person who makes sure those pods actually run day to day, week to week, month to month.
This is the connective tissue role between the CEO's strategic direction and the pods' daily execution. You are the first line of defense when something goes wrong on a campaign, the person who keeps every pod honest about what's actually happening versus what's being reported, and the one accountable for creator operations - payments, contracts, and grievances - across the entire creator base.
Core Responsibilities:
1. Campaign Team Management (Day-to-Day):
- Run regular check-ins with every Campaign Manager and Scriptwriter, you are their primary point of contact for problem-solving and objective setting.
- Set the weekly agenda for each pod: what needs to be covered, what's due, what's at risk and track that it actually happens.
- Act as the first responder when a campaign hits a snag before it becomes a fire that reaches the CEO.
- Redirect underperforming CMs back on track with concrete guidance and support.
- Coordinate onboarding and ramp-up when a new campaign or pod is stood up: briefing, resourcing, and getting the first few weeks right.
2. Campaign Quality & Analytics Oversight:
- Go into the analytics of every live campaign and verify that what's being reported matches what's actually happening.
- Own hygiene checks across all campaigns - catching missing details, inconsistent tracking, or gaps before they become client-facing problems.
- Flag at-risk campaigns early, with a proposed fixes.
3. Creator Operations (Focal Point):
- Own the creator payment process end-to-end: approximately $50K/month across all active creators including accuracy, timing, and reconciliation.
- Manage creator contracts: onboarding, terms enforcement (pro-rata pay, viral bonus rules, hygiene deductions, etc.), and updates as agreements evolve.
- Serve as the primary point of contact for creator grievances and disputes, resolving what can be resolved and escalating what can't.
- Maintain the source-of-truth creator database (status, payment history, contract terms, performance flags).
4. KPI Accountability:
- Directly accountable, month-to-month, for the aggregate KPI performance of every campaign under your oversight.
- Build and maintain the KPI scorecard for every pod, ensuring each one reflects the right metrics and thresholds for that campaign.
- Own the end-of-month scoring cycle for every pod: running the numbers, finalizing each CM's/CS's score, and ensuring nothing slips past the deadline.
- Compile performance inputs for the quarterly bonus cycle for CMs and CS team members.
5. Systems & Workflow Improvement:
- Proactively identify workflow inefficiencies across pods and propose fixes; this is an expected output of the role, not an occasional suggestion.
- Own and iterate on SOPs for campaign management, creator operations, and pod onboarding.
- Surface wins and fixes from one campaign to the others; prevent pods from solving the same problem in isolation.
- Recommend and help implement tools/systems that reduce manual work (payment tracking, scorecard automation, creator CRM, etc.).
