Location: Mumbai, India
Reporting to: Head of Seamex
Dotted line: Corporate HR Head
Team size: 2-3 HR team members and 1 Facilities Lead
Scope: ~200 employees
Role Purpose
The Lead HR and Administration will serve as the Site HR Head for the captive HR Process Operations and HR Technology Shared Services unit of the Group. The role will be accountable for delivering end to end HR leadership for the site, balancing strong HR operations, business partnering, talent and engagement, and administration/facilities management.
The incumbent will act as a trusted advisor to the Head of Unit and site leadership, ensuring that people practices enable operational excellence, capability building, and a high engagement culture, while remaining aligned with Group HR frameworks and governance.
Key Responsibilities
1. HR Leadership & Business Partnering
- Act as the HR Business Partner for the site, working closely with the Head of Unit and senior leaders including Head of Service Delivery, Head of Technology, and leads from Service Excellence, PMO, and Customer Success.
- Translate business priorities into people plans covering organisation design, workforce planning, capability needs, and succession.
- Provide counsel to leaders on performance management, career progression, employee relations, and organisational effectiveness.
- Represent the site in interactions with Corporate HR, ensuring alignment while advocating for local needs.
2. HR Operations & Employee Lifecycle Management
- Own end to end HR operations and employee lifecycle processes, including:
- Onboarding and exits
- Performance management cycles
- Career conversations and internal mobility
- Compensation reviews and annual processes
- Employee relations and grievance handling
- Ensure accurate and timely delivery of HR processes in line with Group standards and local requirements.
- Oversee statutory compliance applicable to white collar employees, including coordination for audits and compliance reviews.
- Drive continuous improvement in HR process efficiency, leveraging HR technology and shared services best practices.
3. Talent Management & Career Development
- Drive effective execution of career conversations, talent reviews, and identification of critical talent for the site.
- Partner with Corporate HR on HiPo, succession planning, and talent programmes, ensuring meaningful site level adoption.
- Work with business leaders to address retention risks and capability gaps through targeted interventions.
4. Learning & Capability Building
- Diagnose learning and capability needs in partnership with business leaders.
- Design learning roadmaps for the site and coordinate with external vendors and internal L&D teams for delivery.
- Track effectiveness of learning interventions and ensure alignment to current and future skill requirements.
5. Hiring & Employer Branding
- Own end to end hiring for the site (approximately 20 to 30 hires annually, including backfills), covering:
- Lateral hiring for technology and HR process operations roles
- Periodic campus hiring for freshers and pipeline programmes (e.g. Graduate Engineer Trainees)
- Partner with leaders on workforce planning, role design, and selection decisions.
- Manage the site's employer branding presence, including the LinkedIn page.
- Build and maintain campus relationships and external talent pipelines.
6. Employee Engagement, Listening & Culture
- Design and execute a structured employee engagement calendar across the year. Annual Award and Foundation day events
- Own and drive employee listening mechanisms, including: Skip-level interactions, Townhalls Group engagement survey, Pulse surveys
- Translate feedback into actionable insights and improvement plans.
- Champion culture building and values integration at the site, especially as newer teams (e.g. Customer Success) scale.
7. Facilities Management & Administration
- Provide overall leadership for Facilities Management and Administration for the site.
Manage the Facilities Lead, with oversight of:
- Workplace operations and office administration
- Vendor management (security, housekeeping, concierge)
- Safety, security, and statutory requirements
- Workplace design and site enhancements
- Ensure a safe, efficient, and employee friendly work environment aligned with Group standards.
Team Leadership
- Lead and develop a small HR team (2-3 members) responsible for HR operations and hiring.
- Provide coaching, clear prioritisation, and performance management for the team.
- Foster a service oriented, business aligned HR function.

Experience & Qualifications
- 12-14 years of progressive HR experience, preferably in:
- Captive shared services environments, or
- Mid-sized IT services / technology led organisations
- Strong background in HR operations, HR business partnering, and hiring.
- Proven experience with:
Career conversations and talent management
- Employee engagement and listening
- Managing audits and compliance reviews
- Prior exposure to facilities management and administration is essential.
- Experience working in environments with central HR governance and local execution.

Educational Qualifications
- Postgraduate qualification in Human Resources, Industrial Relations, Personnel Management, or a related discipline (e.g., MBA / PGDM with HR specialisation).
- A relevant and recognised institute is required; tier 1 pedigree is not mandatory.
- Additional certifications in HR, talent management, learning & development, or HR technology will be an advantage
