The Opportunity:
We are seeking an exceptional and strategic Head of Projects to spearhead our high-growth Interior Fit-Out division, focusing exclusively on the rapidly expanding market of Managed Office Spaces and high-spec corporate interiors. This is a critical leadership role responsible for the simultaneous execution and quality control of multiple, large-scale projects across India.

You will be the strategic leader overseeing the successful, high-quality completion of multiple interior fit-out projects simultaneously across India.
Your focus is on strategic oversight, ensuring alignment with the business goal of providing inspiring, well designed, and high-spec co-working/managed office environments.
Core Responsibilities (Strategic & Operational):
The Head of Projects will be accountable for the end-to-end delivery cycle of all pan-India fit-out projects, ensuring they are delivered on time, within budget, and to the highest standards of quality and safety.
- Stakeholder Management: Act as the primary liaison between executive leadership, sales, design teams, and external client representatives, providing transparent and concise reporting on project status and forecasting.
- Strategic Project Oversight: Provide technical, operational, and managerial leadership to align all projects with the company's expansion and quality goals.
- Quality & Compliance: Ensure all projects strictly adhere to design specifications, corporate standards, and local statutory compliance, including fire safety, building codes, and environmental regulations in every state of operation.
- Design & Quality Assurance: Ensure all projects meet the high standards of design, functionality, and amenity required for premium managed office spaces.
- Team Leadership & Development: Recruit, mentor, and manage a high-performing team of Project Managers and Site Engineers across various locations, fostering a culture of accountability, safety, and operational excellence.
- Team Leadership: Lead and mentor a team of Project Managers, guiding them on project plans, risk mitigation, and performance.
- Pan-India Project Governance: Develop and implement a standardized project management methodology for multi-location rollouts, ensuring consistency in quality and execution across diverse geographical zones.
- Pan-India Execution: Establish standardized procedures for multi-site fit-out execution, ensuring uniform quality and compliance across various cities.
- Strategic Planning & Budget Control: Oversee the P&L for the entire project portfolio. Develop master project schedules, manage budgets exceeding $XX Million, and conduct rigorous risk assessment for concurrent projects.
- Financial & Budget Control: Oversee the master budget for the entire project portfolio, making critical decisions on resource allocation and cost optimization.
- Vendor & Supply Chain Management: Lead negotiation and management of key national vendors, contractors, and suppliers to secure competitive rates and maintain a consistent quality benchmark for all materials and finishes suitable for premium Managed Office Spaces.
Experience and Qualification required:
- Experience: Minimum 18+ years of progressive experience in Project Management, with at least 12 years in a Senior Leadership/Head role overseeing multi-site interior fit-out projects.
- Domain Expertise: Proven, in-depth experience managing high-specification commercial interiors, co-working spaces, or Managed Office Spaces.
- Education: Bachelors or Masters degree in Civil Engineering, Architecture, Construction Management, or a related field. PMP certification or equivalent is highly desirable.
- Complexity Management: Demonstrated ability to successfully manage 10+ simultaneous projects across different cities/states, navigating varying regulatory landscapes and logistical challenges.
- Financial Acumen: Strong proficiency in project budgeting, cost estimation, value engineering, and financial forecasting at a portfolio level.
- Leadership: Exceptional leadership, negotiation, and communication skills (written and verbal) essential for managing dispersed teams and complex stakeholder requirements.
Head of Projects (HOP) in a Managed Office Spaces (MOS) company serves as the chief integrator of the entire value chain. The role demands simultaneous coordination with almost every department and external party to ensure the seamless conversion of business strategy into saleable real estate inventory.

Project Execution & Strategic Oversight:

Leadership Team:
- Strategic Reporting & Forecasting: Provide high-level, synthesized reports on Time-to-Market (TTM), overall CAPEX variance, and project portfolio risk. Ensure the project delivery roadmap aligns with the overall business expansion goals (e.g., Pan-India growth targets).
Finance:
- Budget Control & CAPEX Optimization: Final sign-off on project budgets; lead Value Engineering exercises to maintain optimal Cost Per Seat (CPS). Ensure accurate cash flow forecasting related to construction activities.
Design:
- Design Compliance & Standardization: Ensure designs are buildable, cost-effective, and adhere to MOS brand standards across all locations. Coordinate early reviews to lock in material specifications and resolve site-specific design challenges.
Projects (Internal/ External PMs):
- Execution Management & Quality Control: Lead and manage the entire internal/external Project Management team. Enforce standardized project methodology, site safety protocols, and conduct final Quality Assurance (QA) checks before operational handover.
Human Resources (HR):
- Talent & Capacity Planning: Define the skill sets and number of Project Managers/Site Engineers required for the projected growth pipeline. Participate in the interview and performance review process for the Projects team.
Front-End & Revenue Alignment: This coordination ensures the projects delivered meet current market demand and are handed over efficiently for sales and client use.

Sales & Accounts Management:
- Handover Schedule Alignment: Provide Sales with confirmed Go-Live dates for inventory and secure confirmation on client-specific customizations. Coordinate the timely completion of sales-driven fit-outs or changes required for key clients.
Marketing:
- Product Readiness & Launch Support: Confirm the readiness of physical space for photography, videography, and promotional events. Coordinate final aesthetic checks to ensure the delivered space matches marketing collateral.
Real Estate (Acquisition):
- Technical Due Diligence & Feasibility: Conduct technical audits on potential new properties (shell & core) to assess the cost and feasibility of the fit-out. Provide input on lease terms related to landlord obligations and project timelines.
Logistics, Legal, & Operational Handoff:
These responsibilities cover the necessary support functions that enable the physical build and ensure compliance and continuity.

Procurement:
- Vendor Standardization & Material Flow: Work with Procurement to finalize national rate contracts for materials and services. Forecast large material needs to ensure the supply chain can meet multi-site demand without delays.
Store Warehouse:
- Inventory Management & Logistics: Coordinate with the warehouse team on the sequencing and delivery of furniture, fixtures, and specialized equipment (FF&E) to various project sites. Minimize on-site storage time and maximize logistics efficiency.
Legal:
- Contract Review & Statutory Compliance: Final review of all major builder contracts, vendor agreements, and consultant contracts. Ensure all project activities adhere to local statutory and regulatory compliance (e.g., RERA, building permits, NOCs) across all operating states.

Builders & Contractors:
- Site Management & Dispute Resolution: Serve as the final escalation point for contractual or technical disputes with contractors. Ensure adherence to Safety, Health, and Environment (SHE) guidelines on all sites.
Operations:
- Operational Handover & Defect Resolution: Lead the final Punch List/Snagging process. Officially hand over the completed space, including all necessary as-built drawings and warranty documentation, and resolve critical project-related defects within the 90-day warranty period.
- The role is fundamentally about risk mitigation and standardized execution across a decentralized, high-volume project pipeline, making the HOP the key link between the MOS Companys balance sheet and its physical product.
