About the Role:
We are looking for an experienced HR COE - Performance Management System (PMS) professional to own and drive the organization's end-to-end performance management framework.
The role will focus on designing, implementing, and continuously improving PMS processes to ensure alignment between business objectives, employee goals, and organizational performance.
The ideal candidate should have strong hands-on experience in Performance Management, goal-setting frameworks, performance reviews, ratings, calibration, and PMS analytics.
Experience in BFSI, FinTech, InsurTech, technology startups, or other fast-paced environments is preferred.
Key Responsibilities:
1. Performance Management System (PMS) - Primary Responsibility:
Own and manage the complete annual PMS cycle, including:
- Performance goal setting
- Goal alignment and cascading
- Key Result Areas (KRAs) and Key Performance Indicators (KPIs)
- Mid-year performance reviews
- Continuous performance feedback
- Year-end performance evaluations
- Performance ratings
- Performance calibration
- Final PMS closure
- Design and implement performance management frameworks aligned with organizational objectives.
- Partner with business leaders, HR Business Partners, and managers to ensure effective implementation of PMS.
- Drive timely completion of performance cycles across departments and business functions.
- Ensure employees and managers understand PMS guidelines, timelines, rating frameworks, and evaluation criteria.
- Develop and maintain performance evaluation templates, guidelines, and process documentation.
- Monitor the quality and consistency of goal setting and performance evaluations.
- Identify gaps in the PMS process and implement corrective actions.
2. Goal Setting & Performance Evaluation:
- Facilitate the annual goal-setting process across the organization.
- Ensure alignment of individual goals with departmental and organizational objectives.
- Support managers in defining measurable and outcome-oriented KRAs and KPIs.
- Review goal quality, relevance, and alignment with business priorities.
- Establish and maintain performance evaluation standards and rating guidelines.
- Support managers in conducting objective and structured performance reviews.
- Ensure performance evaluations are completed within defined timelines.
- Promote consistency, transparency, and fairness in performance assessments.
3. Performance Calibration & Ratings:
- Coordinate end-to-end performance calibration exercises with business leaders and management teams.
- Facilitate discussions to ensure consistency in performance ratings across teams and functions.
- Analyze rating distributions and identify inconsistencies or deviations.
- Prepare calibration reports and performance rating insights for leadership.
- Support the implementation of rating frameworks and performance differentiation practices.
- Maintain confidentiality and accuracy of performance-related information.
- Ensure final ratings are accurately recorded and communicated through the PMS process.
4. PMS Technology & Process Management:
- Manage PMS workflows and processes through HRIS and performance management platforms.
- Configure or coordinate PMS system requirements, including goal setting, review forms, rating structures, and approval workflows.
- Coordinate with HR technology teams and vendors for PMS implementation and system enhancements.
- Identify opportunities to automate PMS activities and reduce manual intervention.
- Prepare PMS process documentation, SOPs, user guides, and communication materials.
- Conduct PMS training and awareness sessions for managers and employees.
- Ensure smooth execution of PMS activities within defined timelines.
5. PMS Analytics & Reporting:
- Develop and maintain PMS dashboards and reports for HR and business leadership.
- Track key performance management metrics, including:
- Goal-setting completion rate
- Mid-year review completion
- Year-end review completion
- PMS cycle adherence
- Performance rating distribution
- Calibration outcomes
- Function-wise and department-wise performance trends
- Employee performance trends
- Generate actionable insights from PMS data to support leadership decision-making.
- Identify performance management trends, gaps, and improvement opportunities.
- Prepare periodic PMS MIS reports and executive presentations.
- Maintain accurate and confidential performance-related data.
6. PMS Framework & Continuous Improvement:
- Review and enhance the organization's performance management framework.
- Benchmark PMS practices and recommend improvements based on business requirements.
- Develop structured performance management guidelines and evaluation frameworks.
- Improve the employee and manager experience throughout the PMS cycle.
- Establish process governance, review mechanisms, and quality checks.
- Ensure PMS processes remain aligned with organizational goals and evolving business needs.
- Support the integration of PMS with talent management, succession planning, promotions, and rewards processes.
7. Stakeholder Management:
- Partner with senior leadership, HR Business Partners, and functional heads to drive PMS adoption.
- Act as the central point of contact for PMS-related queries and escalations.
- Collaborate with managers and employees to resolve performance management issues.
- Coordinate with HR Operations, HR Technology, and Rewards teams wherever required.
- Communicate PMS timelines, policies, process updates, and expectations effectively.
- Ensure strong stakeholder engagement throughout the performance cycle.
Candidate Profile:
- 4 - 7 years of experience in HR COE, Performance Management, Performance Management Systems, or a similar role.
- Strong hands-on experience in managing end-to-end PMS cycles.
- Experience in goal setting, KRAs, KPIs, performance reviews, ratings, and calibration.
- Strong understanding of performance management frameworks and evaluation methodologies.
- Experience in designing, implementing, or improving PMS processes.
- Experience working with HRIS or performance management platforms.
- Strong proficiency in HR MIS, Excel, dashboards, and performance analytics.
- Candidates from Tier 1 / Tier 2 colleges and universities only.
- Experience in BFSI, FinTech, InsurTech, technology startups, or other fast-paced organizations is preferred.
- Strong analytical, stakeholder management, communication, and process management skills.
- Ability to manage confidential employee performance data with integrity.
- Strong ownership, attention to detail, and ability to manage multiple PMS deliverables.
