Position Summary:
The Deputy Finance Officer will support the day-to-day operations of the Finance and Accounts department at GITAM Deemed to be University. This position requires strong organizational skills, attention to detail, and proficiency in financial management. The Deputy Finance Officer will assist in budgeting, financial reporting, accounting, and ensuring compliance with university financial policies and government regulations.
Key Responsibilities:
1. Financial Reporting and Analysis:
- Assist in preparing periodic financial reports, statements, and budgets.
- Review and reconcile financial transactions, including accounts payable and receivable.
- Maintain accurate records of all financial activities and assist in auditing processes.
- Prepare monthly, quarterly, and annual reports for internal and external stakeholders.
2. Budget Management:
- Assist in the preparation and review of annual budgets for various departments and university projects.
- Monitor budget performance, track expenditures, and provide variance analysis.
- Ensure that budgetary allocations are adhered to and report discrepancies or overspending.
3. Accounts Management:
- Maintain and update financial ledgers, including the preparation of journal entries.
- Process and record financial transactions related to tuition fees, grants, and other university revenue.
- Ensure the timely processing of payments to vendors, contractors, and staff reimbursements.
4. Compliance and Documentation:
- Ensure compliance with statutory requirements, including tax filing, GST, and other regulatory obligations.
- Maintain proper documentation for all financial transactions and audit trails.
- Assist in preparing documents and reports for statutory audits and inspections by regulatory bodies.
5. Cash Flow Management:
- Assist in cash flow management and forecast future cash needs for operational activities.
- Track receipts and disbursements and ensure proper reconciliation of cash balances.
6. Financial System Support:
- Assist in the maintenance and optimization of financial management software and systems.
- Ensure data integrity and support the implementation of financial processes and controls.
7. Other Responsibilities:
- Assist the Finance Officer in special projects, research, and any other finance-related tasks as assigned.
- Provide support to faculty, staff, and students regarding financial queries and processes.
Qualifications:
Educational Qualifications:
Professional certification - CA
Experience:
- Minimum 10+ years of relevant experience in finance, accounting, or audit, preferably in an academic or public sector environment.
- Experience with financial software (e.g., Tally, SAP, Oracle) is desirable.
- Familiarity with Indian accounting standards, GST, and tax regulations.
Skills & Competencies:
- Strong knowledge of accounting principles, financial regulations, and budgeting processes.
- Proficiency in Microsoft Office Suite, especially Excel (advanced level).
- Excellent analytical, numerical, and organizational skills.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Strong communication skills (both written and verbal).
