
Enterprise Content Management Consultant
The ECM Lead will be responsible for planning, implementing, and managing a global enterprise content management (ECM) solution to support the creation of a centralized data repository across the organization. This is a greenfield project spanning multiple business units, geographies, and functions.
The role combines strategic planning, technical administration, data governance, and project leadership to ensure that content is stored, secured, classified, and accessed consistently across the enterprise. The ideal candidate will have a strong background in ECM systems such as Box, SharePoint, M-Files, or OnBase, and experience in rolling out content repositories in regulated, multi-entity environments.
Key Responsibilities:
Global Repository Implementation
- Lead the end-to-end implementation of the global data repository.
- Define repository architecture, metadata models, taxonomies, and folder structures.
- Collaborate with internal stakeholders to gather requirements and plan phased rollout.
ECM System Configuration & Administration
- Configure user roles, permission groups, retention schedules, and workflow automation.
- Administer system-level settings and integrations with other enterprise applications.
- Oversee user provisioning, access reviews, and license management.
Content Governance & Compliance
- Develop and enforce enterprise-wide content governance policies and procedures.
- Define and manage classification schemes, tagging standards, and content lifecycle rules.
- Ensure compliance with regulatory frameworks (e.g., GDPR, HIPAA, ISO 27001).
Stakeholder Coordination & Support
- Serve as the primary liaison between IT, business departments, and vendors.
- Facilitate training sessions, create user documentation, and support user onboarding.
- Establish and manage a network of departmental content owners/champions.
Monitoring, Reporting & Optimization
- Monitor platform usage, adoption, data quality, and compliance.
- Implement continuous improvements to usability, structure, and automation.
- Analyze metrics and generate regular reports for senior leadership.
KRAs and KPIs:
System Configuration and GDR Implementation:
- KPI: % of departments onboarded to the global repository as per project scheduledule > 90%.
- KPI: % of metadata-compliant documents uploaded within 3 months of go-live > 95%.
Data Migration:
- KPI: % of legacy data accurately migrated > 98% with full metadata compliance.
- KPI: % of business units and departments with assigned data stewards 90%.
Data Governance:
- KPI: % of documents tagged with correct metadata and classification> 95%.
- KPI: Number of audit or compliance issues identified and addressed within the quarter < 10 per quarter.
User Support and Approval:
- KPI: Number of access requests and permission changes processed within SLA 95% resolved within SLA.
- KPI: User satisfaction rating with GDR access and structure > 85%.
Qualifications:
- 5 to 8 years of professional experience in ECM implementation, data governance, or IT project leadership.
- Hands-on experience with at least one ECM platform: Box, SharePoint, M-Files, or OnBase.
- Proven experience managing ECM rollout or repository design in a multi-entity organization.
- Strong understanding of content architecture, metadata, taxonomy, and lifecycle management.
- Proficient in configuring roles, workflows, retention policies, and compliance settings.
- Familiar with regulatory requirements related to document handling (e.g., GDPR).
- Working knowledge of integration points with ERP, HRIS, and CRM etc.
- Strong project management, organizational, and documentation capabilities.
- Analytical mindset with attention to detail.

- Ability to communicate in a clear and well-structured manner.

Preferred Certifications (Not Mandatory):
- Box Certified Professional or Admin.
- Microsoft SharePoint Administrator.
- M-Files Certified Solutions Engineer.
- ITIL or Data Governance certifications (e.g., DAMA-DMBOK, DCAM).
