Job Summary: We are seeking a highly experienced and dynamic Head of Administration to oversee the corporate administrative function of our organization. This role requires a proactive leader with strong organizational, interpersonal, and event management skills. The ideal candidate will be responsible for managing corporate administrative operations, coordinating with vendors, handling promoters driven large scale events, VIP guests, and leading a team to ensure smooth and efficient administrative support across the company.
Key Responsibilities:
Corporate Administration:
- Oversee all aspects of corporate administration including facilities management, office operations, maintenance, travel, security, and vendor management.
- Develop and implement administrative policies, systems, and procedures to enhance operational efficiency.
- Ensure compliance with legal, health and safety, and regulatory requirements in all administrative areas.
- Manage office infrastructure and ensuring office equipped with necessary supplies.
Event Management & VIP Coordination:
- Lead planning and execution of internal and external corporate events, conferences, and meetings.
- Coordinate with promoters, sponsors, and event organizers to ensure seamless event execution.
- Handle end-to-end logistics for VIP guests, including venue selection, setup, travel arrangements, hospitality, security, on-site coordination to complete execution.
- Represent the organization professionally in all public-facing and high-profile interactions.
Stakeholder & Sr. Leadership Engagement:
- Build and maintain strong relationships with external stakeholders including promoters, business partners, and government bodies as needed.
- Act as a liaison between the organization and external partners for administrative and event-related matters.
Vendor Management:
- Managing relationships with external vendors and service providers
- Overseeing contracts and ensuring services meet company standards
Team Leadership:
- Manage and mentor the administration team across multiple locations.
- Define team roles, delegate responsibilities, and ensure performance through regular feedback.
- Foster a collaborative and high-performance work culture within the administration department.
Qualification:
- Master's degree in Hotel Management, Management, or a related field.
- 10+ years of experience in corporate administration with at least 5 years in a leadership role.
Skills Required
- Proven experience in team management, vendor relations, and event planning.
- Strong communication, negotiation, and organizational skills.
- Ability to handle high-pressure situations, manage multiple priorities, and work with cross-functional teams.
- Experience dealing with VIP guests and high-level stakeholders is essential.
