We are looking for a competent Event manager to oversee and organize events that will make an impact to a target audience. You'll ensure events are successful and cost-effective, paying attention to budget and time constraints. The Head of Event Operations is responsible for overseeing all aspects of event logistics and ensuring successful delivery from planning to execution. This role involves leading a team, coordinating with various departments, managing budgets, and ensuring high standards of service and customer satisfaction for every event. You will work with external vendors, suppliers, and internal stakeholders to ensure smooth and efficient event delivery. Key Responsibilities: Strategic Planning & Leadership: - Develop and implement event operation strategies aligned with business goals. - Lead and manage the event operations team, providing clear guidance and support. - Collaborate with stakeholders to understand event objectives and deliver top-quality results. Event Planning & Execution: - Oversee the planning and logistics for all events, including timelines, task lists, staffing, and budget. - Ensure seamless coordination between venue setup, audiovisuals, catering, security, and other services. - Manage event flow, troubleshooting any operational challenges on-site. Budget Management: - Create and manage event budgets, ensuring cost-effective practices without compromising quality. - Negotiate contracts with vendors, suppliers, and venues to achieve optimal pricing. - Track expenses, approve invoices, and ensure financial efficiency for each event. Team Management: - Hire, train, and mentor the event operations team, providing regular feedback. - Assign roles and responsibilities for event staff and external contractors. - Lead pre-event briefings, post-event debriefs, and ongoing staff evaluations. Vendor & Stakeholder Relations: - Build and maintain strong relationships with external vendors (AV, lighting, catering, security, etc.). - Negotiate service agreements and ensure all contractual obligations are met.- - Serve as the main point of contact for internal stakeholders regarding event operations. Compliance & Risk Management: - Ensure compliance with all relevant regulations, permits, and health and safety standards. - Identify and mitigate operational risks, implementing contingency plans for emergencies. - Oversee insurance requirements and ensure all legal aspects of events are covered. Post-Event Reporting & Analysis: - Provide detailed post-event reports on operations, performance metrics, and areas for improvement. - Analyze feedback and use data to drive continuous improvement in event processes. Qualifications & Skills: Experience: - Minimum of 12-15 years of experience in event management or operations, with at least 3 years in a leadership role. - Proven track record of managing large-scale events with multiple stakeholders. - Experience in vendor management, contract negotiation, and budget oversight. Skills: - Strong leadership and team management skills. - Excellent organizational, multitasking, and problem-solving abilities. - Outstanding communication and interpersonal skills to work with a wide range of stakeholders. - Financial acumen and experience with budget management. - Ability to work under pressure and meet tight deadlines. Technical Knowledge: - Familiarity with event management software and tools. - Knowledge of health and safety regulations and legal compliance for events. - Understanding of audiovisual setups, logistics, and venue operations. Education: Bachelor's degree in Event Management, Business, Hospitality, or a related field. Work Environment: Willingness to travel to event sites and work flexible hours, including evenings, weekends, and holidays. Ability to handle physical demands of setting up and overseeing event operations.
