1. Engagement kickstart and program management (PMO):
- Set up the engagement's program management structure: integrated workplan, task tracker, RAID log (risks, assumptions, issues, dependencies) and decision log.
- Break workstreams into tasks with clear owners, timelines and acceptance criteria; track progress daily and flag slippages early.
- Run the engagement cadence - daily stand-ups, weekly progress reviews and steering committee preparation - including agendas, minutes and follow-ups.
- Coordinate logistics for client workshops, plant and warehouse visits, and interviews with function heads.
2. Data and information procurement:
- Translate the case team's analytical needs into specific, well-scoped data requests (fields, granularity, period, source system, format).
- Identify data owners across sales, finance, procurement, production planning, manufacturing, warehousing, logistics, after-sales service and IT; agree timelines and follow up persistently until requests are closed.
- Maintain a live data request tracker with status, owners, ageing and escalation path; report closure rates to engagement leadership.
- Run first-level quality checks on incoming data (completeness, consistency, reconciliation to financials) and resolve gaps directly with source teams.
- Extract or coordinate extracts from ERP (e.g., SAP, Oracle), DMS, WMS/TMS and planning tools, and organize data into a governed, version-controlled repository.
3. Supply chain review support:
- Support analyses across the value chain: SKU and channel profitability, cost-to-serve, procurement spend and vendor performance, inventory health (ageing, slow-moving and obsolete stock), freight and warehousing costs, and service levels.
- Build baseline KPI views and simple dashboards in Excel or Power BI for case team and client discussions.
- Document current-state processes through interviews and site walk-throughs, and capture pain points and improvement ideas from front-line teams.
- Help track margin-improvement initiatives from idea to implementation, including owners, milestones and expected value.
4. Stakeholder engagement and relationship building:
- Build trusted working relationships with client stakeholders from front-line executives to function heads, across plants, warehouses, regional branches and head office.
- Influence without authority: secure time, data and commitment from teams that do not report to you by understanding their priorities and showing how the program helps them.
- Show empathy for client teams' workload and concerns about change; handle resistance constructively and escalate only when needed, with a proposed solution.
- Act as the day-to-day point of contact for client operations teams on behalf of the engagement, representing Softsensor.ai and our consulting partner professionally.
5. Reporting and communication:
- Prepare clear, concise status updates, dashboards and PowerPoint material for the case team, client leadership and Softsensor.ai.
- Write crisp meeting notes, action logs and data request communications that leave no ambiguity on who does what by when.
- Stakeholder map and RACI agreed with client function heads.
- Most priority data sets (sales, inventory, procurement, logistics) received, cleaned and reconciled.
- Teams across plants, warehouses and branches respond to requests without escalation.
- Data request tracker live; first wave of data received and validated.
- Baseline margin and cost-to-serve views shared with the case team.
- Recurring data pulls handed to client owners with clear SLAs.
- Engagement rhythm (stand-ups, weekly reviews, steering pack) running.
- Margin-improvement initiatives tracked with owners, milestones and value.
- Trusted point of contact for client operations teams; issues closed before they escalate.
