Job Summary:

The Admin Head Pan India will be responsible for overseeing all administrative functions across the companys locations nationwide. This includes Housekeeping, Security, Civil Procurement, Vendor Management, and Daily Operational Activities. The role demands a strategic leader who can implement standardized processes, ensure compliance, manage teams across multiple locations, and streamline support functions to ensure business continuity and efficiency.

Key Responsibilities:

1. Administration & Facilities Management

- Lead and manage all administrative operations across multiple sites in India.


- Establish and monitor standard operating procedures (SOPs) for housekeeping, office maintenance, and facility upkeep.

- Develop cost-effective strategies for facility operations and optimization of utilities.

2. Housekeeping Operations

- Oversee housekeeping teams/vendors to maintain hygiene, cleanliness, and ambiance of all office and facility spaces.

- Conduct periodic audits and inspections to ensure quality and compliance.

- Implement ESG/sustainability-friendly practices where applicable.

3. Security Management

- Supervise all security arrangements including personnel deployment, CCTV monitoring, and incident reporting.

- Coordinate with security agencies for manned guarding services across sites.

- Develop and implement emergency response protocols and risk management practices.

4. Civil Procurement & Maintenance

- Manage procurement of civil items including furniture, building materials, repair services, and other infrastructure needs.

- Liaise with contractors and civil maintenance teams for renovations, fit-outs, and repairs.

- Ensure timely execution of civil works with quality control and cost efficiency.

5. Vendor & Contract Management

- Identify, evaluate, and onboard vendors for housekeeping, security, maintenance, and procurement.

- Negotiate contracts and ensure service level agreements (SLAs) are met.

- Maintain a centralized vendor database and evaluate performance regularly.

6. Budgeting & Cost Control

- Prepare and manage annual admin budgets across regions.

- Monitor expenses, identify cost-saving opportunities, and ensure adherence to allocated budgets.

7. Team Management

- Lead a geographically distributed team of admin officers, facility managers, and support staff.

- Provide regular training and development programs.

- Conduct performance appraisals and ensure high levels of employee engagement.

8. Daily Operations & Reporting

- Ensure smooth day-to-day administrative operations across all locations.

- Provide regular MIS reports to senior management.

- Handle escalations and resolve issues promptly.

Key Skills & Competencies:

- Strong leadership and multi-location team management

- Vendor negotiation and contract management

- Knowledge of civil maintenance and procurement processes

- Excellent organizational and planning skills

- Proficiency in MS Office, ERP tools, and facility management systems

- Strong communication and interpersonal abilities

- Crisis and conflict management

Work Conditions:

- Based at the corporate HQ with frequent travel across India to various office/factory/project locations.

- Ability to work under pressure and handle multiple priorities.
