Senior Operations & Office Manager - Accounting/Professional Services

A Canadian Accounting & Professional Services Firm | Leadership Role | Path to Canada Relocation

We are recruiting on behalf of a growing, well-established Canadian accounting and professional services firm that is looking for a highly capable, execution-focused Senior Operations & Office Manager to join its leadership team.

This is not a traditional administrative office manager position. It is a senior operational leadership role for someone who can manage people, clients, deadlines, technology, compliance and day-to-day business operations in a fast-paced accounting environment - someone who takes ownership, builds systems, and gets things done.

The role will initially be based in India. For the right individual, the firm intends to explore supporting relocation to Canada over time through an employer-sponsored work-permit pathway, subject to performance and applicable Canadian immigration requirements and approvals.

About the Role:

The Senior Operations & Office Manager will sit at the centre of the firm's day-to-day functioning - coordinating people, clients, deadlines and systems so that work is completed accurately, efficiently, and on time. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities simultaneously, with a genuine ability to move between hands-on operational work and higher-level management responsibility.

Accounting or finance experience is strongly preferred, and prior exposure to a CPA firm, accounting practice, or professional services environment will be considered a significant advantage.

Key Responsibilities:

- Manage and coordinate a team of approximately 20 employees across accounting, bookkeeping, tax, administration and support functions. Conduct regular follow-ups and operational meetings, monitor workload and productivity, and help build a culture of ownership and continuous improvement.

- Act as a senior point of contact for day-to-day client operational matters. Respond promptly and professionally to client questions and concerns, monitor outstanding deliverables, and help resolve issues before they escalate - maintaining communication standards appropriate for a Canadian business environment.

- Maintain firm-wide oversight of deadlines and work-in-progress across accounting, bookkeeping, tax, payroll and compliance functions. Develop dashboards and tracking systems that give management clear visibility into operational performance, and ensure critical client commitments are never missed.

- Develop, document and continuously improve Standard Operating Procedures, workflows, checklists and internal controls, reducing dependency on any single individual and building systems that scale with the firm.

- Lead the adoption of technology across the organization, including accounting software, CRM and workflow tools, cloud applications, Microsoft 365, Google Workspace and AI-based productivity tools. Identify automation opportunities and train the team on new systems.

- While primarily an operational role, the position calls for solid accounting fluency: understanding bookkeeping workflows, reviewing basic reconciliations and reports, monitoring accounts receivable and payable, coordinating payroll and compliance activity, and supporting the accounting and tax teams with workflow coordination.

- Oversee general office and administrative operations, coordinate across departments, manage competing priorities, and support management on special projects and growth initiatives.

- Provide regular, structured reporting to senior leadership on outstanding client matters, overdue assignments, staff capacity, compliance risks, and process improvement opportunities - presenting problems together with recommended solutions.

What We're Looking For:

- Excellent written and verbal English, with strong professional communication suited to a Canadian client base

- Strong leadership and team management ability, with experience managing teams in the range of 10 - 25+ people

- Exceptional organizational skills and close attention to detail

- Strong problem solving, decision making and follow through, with the ability to work independently

- A strong technology orientation and the ability to learn new software quickly

- High professionalism and a firm commitment to confidentiality

- Preferred qualifications include a bachelor's or master's degree in Accounting, Finance, Business Administration, Commerce or a related field; a CPA, CA, CMA, ACCA, MBA or equivalent professional qualification; prior experience within a CPA firm or professional services organization; familiarity with accounting software such as QuickBooks, Xero, Sage, CaseWare, TaxCycle or Profile; and any experience implementing automation or AI-driven process improvements.

Experience:

- Ideally 7 - 12+ years of professional experience, including at least 3 - 5 years in a supervisory, office management, or operations leadership capacity. Exceptional candidates with a slightly different experience profile are also welcome to apply.

Working Style:

This role suits someone who takes ownership rather than waiting for instructions, follows tasks through to completion, and is comfortable holding others accountable while remaining calm under pressure. Candidates should enjoy building systems rather than repeatedly solving the same problem manually, be comfortable speaking directly with clients, and be willing to put in additional effort when business needs demand it. As Canadian client hours are involved, comfort working night shifts from India is required.

Career Growth:

This position offers a genuine path into broader leadership - with potential progression toward roles such as Senior Operations Manager, Director of Operations, Practice Manager, or ultimately Chief Operating Officer - for the individual who demonstrates strong leadership and contributes materially to the firm's growth.

Relocation to Canada:

For a candidate who proves out over time and demonstrates strong performance, reliability and long-term alignment with the organization, the firm intends to explore supporting relocation to Canada through an appropriate employer-sponsored work-permit or immigration pathway. Any such support remains contingent on performance, business requirements, and eligibility under applicable Canadian immigration programs and government approvals - it is not automatic or guaranteed.

Compensation:

Salary will not be a bar for the right candidate. The firm is prepared to invest meaningfully in the right hire through training, leadership development, growing responsibility, and - where appropriate - relocation support, in exchange for a genuine long-term commitment.

A Long-Term Opportunity:

This role is intended for someone seeking a stable, long-term leadership career rather than a short-term assignment. Candidates should be genuinely interested in building a career with the organization, willing to take on increasing responsibility as the firm grows, and prepared to invest deeply in learning its systems, clients and culture.
