Job Title: Senior Manager / HOD - Security & Administration
Location: Panipat, Haryana
Company: The employer is a four-decade-old Panipat-based conglomerate and one of India's largest manufacturers and exporters of home textiles, with a strong legacy in Indian craftsmanship.
Role Purpose:
The Head Administration & Security will be responsible for leading the administration, security, and facility management function across multiple manufacturing units in Panipat. The role ensures a safe, secure, compliant, and well-maintained work environment while driving operational discipline, infrastructure upkeep, and administrative excellence. The incumbent will lead a team, establish robust systems and processes, coordinate with internal stakeholders and external agencies, and ensure seamless day-to-day administration across all assigned facilities.
Key Responsibilities:
Security Management:
- Develop and implement comprehensive security policies, SOPs, and site security protocols.
- Ensure round-the-clock security of factory premises, assets, employees, and visitors.
- Manage and monitor deployment of security personnel across all locations.
- Supervise access control systems, visitor management, vehicle movement, and gate operations.
- Oversee CCTV surveillance systems, alarm systems, biometric access, and other electronic security infrastructure.
- Lead incident investigations and ensure timely corrective and preventive actions.
- Coordinate with local police, fire authorities, and other government agencies whenever required.
- Drive emergency preparedness, evacuation drills, and crisis management initiatives.
Administration & Facilities Management:
- Ensure smooth administration of multiple manufacturing facilities.
- Oversee housekeeping, sanitation, pest control, horticulture, and overall upkeep of factory premises.
- Maintain office infrastructure, buildings, utilities, common areas, and employee amenities.
- Supervise transport arrangements, cafeteria services, guest house operations and other support services.
- Drive continuous improvement initiatives at the workplace.
Asset & Infrastructure Management:
- Ensure preventive maintenance and upkeep of administrative infrastructure.
- Monitor usage of utilities and recommend cost optimization initiatives.
- Coordinate infrastructure improvement and renovation projects.
Vendor & Contract Management:
- Identify, evaluate, onboard, and manage vendors for security, housekeeping, facility services, maintenance, transport, and related services.
- Negotiate commercial terms and ensure effective contract management.
- Ensure timely renewal of contracts and statutory documentation.
Procurement & Budget Management:
- Manage procurement of administrative and security-related materials, consumables, equipment, and services.
- Prepare annual administration budgets and monitor expenditures.
- Drive cost optimization without compromising operational effectiveness.
Compliance & Governance:
- Ensure compliance with statutory requirements related to factory administration, safety, and security.
- Support internal and external audits.
- Ensure adherence to organizational policies and governance standards.
Digitalization & Systems:
- Drive digitization of administrative processes and records.
- Implement technology-enabled solutions for visitor management, attendance, asset tracking, surveillance, and facility management.
- Maintain digital documentation and MIS for administration and security functions.
- Prepare dashboards and periodic reports for management review.
Team Leadership:
- Lead, mentor, and develop administration and security teams. Define KPIs and monitor team performance.
Desired Candidate Profile:
Education:
- Graduate in any discipline.
- Additional qualification in Administration, Industrial Security, Facilities Management, or related areas will be preferred.
Experience and Background needed:
- 15-20 years of relevant experience in Administration, Security, and Facility Management within manufacturing or industrial organizations.
- Experience in handling multiple factory locations will be an advantage.
- Candidates from the Armed Forces, Paramilitary Forces, or other Defence services are strongly preferred.
