Role Overview
The Senior Manager Administration will be responsible for streamlining administrative functions across retail store chains, with a strong focus on vendor management, contract negotiations, logistics support, and infrastructure maintenance. This role plays a key part in ensuring operational excellence, cost efficiency, and timely execution of expansion needs.
Key Responsibilities
Vendor Management & Negotiations
- Identify, onboard, and manage vendors for facility services, logistics, and maintenance.
- Negotiate contracts, service agreements, and pricing to drive cost savings while maintaining quality.
- Establish performance metrics for vendors and ensure accountability through regular reviews.
- Build long-term strategic vendor partnerships to support business scalability and expansion.
Operations Management
- Oversee day-to-day administration of multiple retail outlets, ensuring efficiency in utilities, facilities, and store support services.
Logistics & Supply Coordination
- Work closely with logistics partners to streamline distribution of goods and services across all store locations.
- Implement efficient processes to reduce delays, optimize costs, and improve store readiness.
Store Maintenance & Upkeep
- Lead preventive and corrective maintenance programs to ensure store infrastructure, equipment, and facilities are always operational.
Expansion Support
- Partner with project and business development teams for new store openings, ensuring timely vendor coordination and fit-out readiness.
Process Improvement
- Design and implement SOPs for vendor engagement, facility management, and administration to drive standardization and efficiency.
Compliance & Risk Management
- Ensure all administrative operations comply with statutory requirements, safety norms, and environmental standards.
Team Leadership
- Lead and mentor the administration team to build strong vendor negotiation capabilities and a culture of accountability.
Qualifications
- Bachelors/Masters degree in Business Administration, Operations, or related field.
- 8-12 years of experience in administration/operations; retail industry background preferred.
- Proven expertise in vendor management, contract negotiations, and cost optimization.
- Strong relationship management and influencing skills to drive favorable outcomes with external partners.
- Experience in logistics, facility management, and multi-location administration.
- Excellent communication, stakeholder management, and conflict-resolution skills.
- Leadership experience in managing cross-functional teams.
