Key Responsibilities

Team Leadership & Operational Oversight:

- Lead, guide, and mentor a team of recruitment administrators supporting high-volume US hiring operations.

- Allocate tasks, monitor team performance, and ensure adherence to Service Level Agreements (SLAs).

- Provide ongoing coaching, create development plans, and foster a culture of accountability and excellence.

Recruitment Process Management:

- Oversee all administrative aspects of the hiring lifecycle, including interview coordination, offer release, background verification workflows, and onboarding support.

- Ensure timely execution of daily recruitment tasks in line with established process guidelines.

- Coordinate closely with recruiters to ensure smooth candidate experience and timely progression through hiring stages.

Compliance & Data Integrity:

- Ensure data accuracy, completeness, and compliance within the Applicant Tracking System (ATS).

- Monitor and enforce compliance with US labor laws, Equal Employment Opportunity (EEO) guidelines, internal audit requirements, and organizational security standards.

- Maintain proper documentation and audit trails for all processes.

Stakeholder Collaboration:

- Work closely with recruiters, hiring managers, and HR business partners to streamline workflows and remove bottlenecks.

- Facilitate cross-functional communication to ensure alignment on hiring priorities and process changes.

- Act as the point of contact for escalations related to scheduling, onboarding, or operational challenges.

Process Optimization & Reporting:

- Track and report recruitment metrics, dashboards, and operational KPIs to leadership.

- Identify gaps, inefficiencies, and automation opportunities within the hiring workflow.

- Lead continuous improvement initiatives to enhance productivity, reduce turnaround time, and strengthen data accuracy.

- Update and maintain standard operating procedures (SOPs), process documents, and training materials.

Vendor & Tool Management:

- Manage relationships with external vendors, including background verification partners, job boards, and onboarding technology platforms.

- Ensure timely resolution of vendor-related issues and consistent service delivery.

Training & Support:

- Provide training, onboarding, and refresher sessions for new team members on ATS systems, process workflows, and compliance requirements.

- Support stakeholders by offering guidance on process updates, new tools, and best practices.

Required Skills & Qualifications:

- 7-12 years of experience in recruitment operations, HR shared services, or talent acquisition supportspecifically for US hiring.

- Strong understanding of US hiring processes, compliance requirements, EEO, and labor regulations.

- Hands-on experience with Applicant Tracking Systems (ATS) such as Workday, Taleo, iCIMS, SuccessFactors, Greenhouse, or similar.

- Proven ability to lead teams, run operations, and manage high-volume recruitment workflows.

- Excellent communication, stakeholder management, and problem-solving skills.

- Ability to analyze recruitment data, track SLAs, and generate operational reports.

- Strong process mindset with experience in documentation, SOP creation, and continuous improvement.

- Vendor management skills with exposure to background check and onboarding partners.

- High attention to detail, organizational skills, and capability to manage multiple priorities
