Role Title:
Manager Import Logistics
Department:
Logistics / Supply Chain / Commercial / Procurement Support
Role Purpose:
The role is responsible for managing end-to-end import logistics operations, including shipment planning, import documentation, customs clearance, duty payment coordination, port handling, transportation, and timely delivery of imported materials to plant or warehouse. The position requires close coordination with suppliers, procurement, finance, banks, CHA, shipping lines, freight forwarders, transporters, ports, and internal user departments.
Key Responsibilities:
1. Import Shipment Planning:
- Coordinate with Purchase / Procurement team for import order details, supplier readiness, shipment schedule, and cargo details.
- Plan import shipments based on material urgency, production requirement, cost, and transit time.
- Coordinate with overseas suppliers, freight forwarders, shipping lines, and CHA for shipment pickup, booking, and movement.
- Monitor shipment mode such as sea, air, courier, bulk, breakbulk, project cargo, or containerized cargo.
2. Import Documentation:
- Review and verify import documents such as Commercial Invoice, Packing List, Bill of Lading / Airway Bill, Certificate of Origin, Insurance Certificate, Technical Documents, MSDS, Test Certificates, and other statutory documents.
- Ensure correctness of HS Code, duty structure, supplier details, consignee details, quantity, weight, valuation, and terms of shipment.
- Coordinate with banks for LC, TT, CAD, payment documents, and original document release.
- Ensure timely receipt of documents to avoid detention, demurrage, and clearance delays.
3. Customs Clearance & Compliance:
- Coordinate with CHA for Bill of Entry filing and customs clearance.
- Verify import duty calculation, assessable value, IGST, BCD, surcharge, exemption notifications, and other applicable charges.
- Ensure compliance with customs rules, DGFT regulations, import licensing, BIS requirements, plant quarantine, restricted item rules, and other statutory requirements if applicable.
- Handle customs queries, document amendments, assessment issues, examination, and clearance follow-ups.
4. Port, CFS & Transportation:
- Track vessel arrival, IGM filing, container discharge, DO collection, customs examination, and port clearance.
- Coordinate with shipping lines, CFS, port authorities, transporters, and plant team for cargo movement.
- Arrange vehicles, trailers, hydraulic axles, or special transport as per cargo size and urgency.
- Monitor free days, detention, demurrage, ground rent, and ensure timely clearance.
5. Cost & Vendor Management:
- Obtain and compare freight quotes from forwarders and shipping lines.
- Check CHA bills, shipping line invoices, detention charges, demurrage, CFS bills, port charges, and transporter invoices.
- Support cost reduction through better planning, negotiation, and shipment consolidation.
- Maintain vendor performance and service records.
6. Tracking & MIS:
- Maintain import shipment tracker with PO details, supplier name, shipment status, ETA, clearance status, duty status, vehicle status, and delivery status.
- Prepare MIS on pending imports, clearance delays, duty payments, freight cost, demurrage/detention, and critical shipments.
- Provide regular updates to Procurement, Finance, Plant, and Management.
7. Issue Resolution:
- Resolve delays related to documentation, customs queries, supplier documents, duty payment, port congestion, shipping line DO, and transportation.
- Escalate critical import issues with clear action plans.
- Support urgent import clearance for production-critical materials.
Required Skills:
- Strong knowledge of import logistics, customs clearance, Bill of Entry, duty structure, and port operations.
- Understanding of Incoterms, HS Code classification, import documentation, LC/TT/CAD process, and customs compliance.
- Good coordination with CHA, freight forwarders, shipping lines, suppliers, banks, transporters, and internal departments.
- Strong follow-up, negotiation, and problem-solving skills.
- Good command over Excel, MIS, ERP, and logistics tracking systems.
- Ability to manage high-pressure shipment timelines.
Preferred Experience:
- Assistant Manager / Manager: 6-12 years in import logistics, preferably in manufacturing, steel, engineering, chemicals, capital goods, or heavy industry.
Qualification:
- Graduate in Commerce / Logistics / Supply Chain / International Trade.
- MBA / PG Diploma in Logistics, Export-Import Management, or Supply Chain will be preferred.
