
Manager Export Logistics
Department: Logistics / Supply Chain / Commercial
Location: Kharagpur (West Bengal), 3 hours from Kolkata
Role Purpose:
The role is responsible for planning, coordinating, and executing export logistics operations to ensure timely dispatch, documentation accuracy, regulatory compliance, cost control, and smooth delivery of export consignments to international customers. The position requires close coordination with plants, sales, shipping lines, freight forwarders, CHA, ports, banks, inspection agencies, and customers.
Key Responsibilities:
Export Planning & Coordination:
- Coordinate with Sales, Production, Quality, and Dispatch teams for export order readiness.
- Plan container placement, vehicle movement, stuffing, dispatch, and port movement as per shipment timelines.
- Track export schedules and ensure timely movement of cargo from plant to port.
- Coordinate with freight forwarders, shipping lines, transporters, and CHA for smooth shipment execution.
- Ensure proper planning of FCL, LCL, breakbulk, bulk, or project cargo shipments as applicable.
Export Documentation:
- Prepare, verify, and coordinate export documents such as Invoice, Packing List, Shipping Bill, Bill of Lading, Certificate of Origin, ARE-1, LUT/Bond documents, e-way bill, insurance certificate, and inspection certificates.
- Ensure accuracy of HS Code, quantity, weight, value, consignee details, port details, container details, and payment terms.
- Coordinate with banks and internal finance teams for LC, CAD, advance payment, and export realization documentation.
- Ensure timely submission of post-shipment documents to customers, banks, and internal stakeholders.
Customs, Port & Compliance:
- Coordinate with CHA for customs clearance and shipping bill filing.
- Ensure compliance with export regulations, DGFT guidelines, customs requirements, GST provisions, LUT/Bond requirements, and port procedures.
- Monitor vessel schedules, port cut-off timelines, container gate-in, and shipping instructions.
- Handle documentation related to export incentives, duty drawback, RoDTEP, MEIS/SEIS if applicable.
Vendor & Freight Management:
- Obtain freight rates from shipping lines, freight forwarders, transporters, and CHA.
- Compare freight options and support cost-effective shipment planning.
- Negotiate basic freight, local charges, detention, demurrage, handling charges, and transportation costs.
- Maintain vendor performance records and ensure service quality.
Tracking & MIS:
- Track shipments from dispatch to final delivery.
- Maintain export shipment trackers, container status, documentation status, pending shipment reports, and cost MIS.
- Prepare regular reports on dispatch status, pending documents, freight costs, port delays, shipment delays, and customer-wise export performance.
Issue Resolution:
- Resolve shipment delays, document discrepancies, container shortages, port congestion, customs queries, and customer escalations.
- Coordinate with internal and external stakeholders for urgent export requirements.
- Support management with quick updates on critical shipments.
Required Skills:
- Strong knowledge of export logistics, customs procedures, shipping documentation, and port operations.
- Good understanding of Incoterms, HS Codes, freight terms, LC documentation, and export compliance.
- Coordination skills with CHA, freight forwarders, shipping lines, transporters, banks, and customers.
- Ability to work under pressure and handle urgent shipment requirements.
- Strong Excel, MIS, and documentation accuracy skills.
- Good communication and follow-up skills.
Preferred Experience:
- Executive / Sr. Executive: 2 - 5 years in export logistics.
- Assistant Manager / Manager: 6- 12 years in export logistics, preferably in manufacturing, steel, pipes, engineering goods, heavy industry, or bulk/project cargo.
