Job Title: Project Coordinator - Governance & Reporting
Job Purpose
The Project Coordinator - Governance & Reporting plays a key role in supporting project execution through strong governance practices, structured reporting, effective planning, and seamless coordination across internal and external stakeholders. The role ensures that project progress is monitored efficiently, risks are escalated timely, and alignment with business goals is maintained throughout the project lifecycle.
Key Responsibilities
1. Project Governance & Reporting
- Develop and maintain comprehensive project dashboards, trackers, and status reports to ensure complete visibility of progress.
- Ensure timely updates of project activities and escalate risks, issues, and deviations as necessary.
- Standardize project documentation, reporting formats, and templates across teams to improve consistency and efficiency.
- Monitor adherence to project governance norms and support audit readiness.
2. Planning & Coordination
- Assist in developing project plans, schedules, and resource allocation frameworks.
- Coordinate effectively with internal teams including Engineering, Procurement, Finance, and other cross-functional units.
- Liaise with external vendors to ensure timely delivery of project-related activities.
- Track key project milestones, monitor progress, and ensure alignment with project timelines and business objectives.
- Support in preparing project presentations, MIS reports, and review materials.
3. Stakeholder Management
- Facilitate smooth communication between project teams and senior leadership.
- Organize and participate in project review meetings, document key actions, and ensure timely follow-ups.
- Maintain stakeholder engagement through structured updates, reports, and feedback mechanisms.
- Build strong working relationships to support efficient project execution.
4. Documentation & Process Management
- Maintain accurate project records, documentation repositories, and version controls.
- Support process improvement initiatives to enhance project delivery efficiency.
- Assist in implementing best practices across reporting and project governance functions.
Qualifications & Experience:
- Bachelor's degree in Engineering, Business Administration, Project Management, or related field.
- 2+ years of experience in project coordination, PMO support, governance, or reporting roles.
- Strong understanding of project management frameworks and documentation practices.
- Proficiency in MS Excel, PowerPoint, and project management tools (e.g., MS Project, Jira, Asana, Smartsheet).
- Excellent communication, coordination, and stakeholder management skills.
- Strong analytical, problem-solving, and time-management capabilities.
- Ability to work in a fast-paced environment, manage multiple priorities, and meet deadlines.
