Plant HR Officer
Description:
Purpose of the Role :-
The Plant HR Officer will be responsible for ensuring the effective and efficient functioning of the HR and Administration department. The role focuses on smooth operational activities, employee welfare, statutory compliance, and adherence to organizational policies and legal guidelines.
Key Responsibilities:
1. Statutory Compliance
- Ensure adherence to all relevant labor acts, regulations, and state laws at all operational locations.
- Ensure timely preparation and submission of all statutory returns and reports.
- Maintain proper documentation and records for compliance audits.
2. Vendor Management
- Manage vendor empanelment and development in accordance with company guidelines.
- Monitor vendor performance to ensure timely and quality service delivery.
- Oversee yearly renewals of contracts and agreements.
- Streamline vendor payment processes, including salaries for outsourced staff.
3. Administration Activities
- Maintain and ensure the proper upkeep of office infrastructure.
- Supervise and manage housekeeping staff, security staff, and office support staff.
- Manage office stationary, courier, food & beverages, and other administrative requirements.
- Handle employee travel arrangements and maintain related records.
- Oversee employee leave management and manual travel expense processing.
- Process sampling and medical reimbursements in a timely manner with proper record-keeping.
4. MIS and Reporting
- Prepare and share MIS reports in alignment with DHQ requirements.
- Maintain and update records and reports related to office operations and staff.
5. Talent Acquisition
- Coordinate with the HR Manager for replacements against vacant positions.
- Arrange interviews and manage coordination between candidates and DHQ.
- Share candidate information and updates post-interview.
6. Joining and Exit Formalities
- Coordinate joining formalities between DHQ and new employees.
- Notify the local employment exchange as required.
- Support onboarding and induction plans for new joiners.
- Manage resignation intimation, initiate the exit process, and conduct exit interviews.
- Share exit documentation and forms with DHQ in a timely manner.
7. Event, Training & Capability Building
- Manage and coordinate employee engagement events at the plant.
- Provide administrative support for organizing training programs.
- Coordinate and organize EHS (Environment, Health & Safety) training sessions.
8. Employee Engagement and R&R Programs
- Drive employee engagement initiatives to enhance workplace satisfaction.
- Plan and execute reward and recognition programs.
- Foster a positive and motivating work culture.
Required Skills and Competencies:
- Strong knowledge of statutory and labor compliance.
- Hands-on experience in plant HR and administration.
- Excellent interpersonal, communication, and coordination skills.
- Proficiency in MS Office and HRIS tools.
- Strong organizational and problem-solving abilities.
