Role Overview:
The Compliance Manager will oversee, implement, and maintain regulatory compliance for employee transportation operations managed through third-party service providers. This role requires strong knowledge of transportation compliance, driver regulations, fleet compliance, safety protocols, documentation standards, and audit preparation.
The ideal candidate will have 78 years of experience in compliance management, preferably in transportation, logistics, corporate mobility, or related operational risk domains.
You will be responsible for ensuring regulatory adherence, developing compliance frameworks, conducting audits, monitoring vendor performance, and supporting safety & transportation policies across the organization.
Key Responsibilities:
1. Regulatory Compliance Management:
- Continuously monitor and interpret applicable transportation regulations (e.g., DOT, OSHA, EPA, state-specific transport laws).
- Define compliance checklists based on statutory rules, organizational standards, and site-specific requirements.
- Ensure complete compliance of employee transportation operations, including vehicles, drivers, and support staff.
- Maintain accurate and updated regulatory documentationdriver logs, inspection reports, permits, compliance forms, etc.
2. Regulatory Liaison & Documentation:
- Coordinate with regulatory bodies and competent authorities to obtain updated guidelines, approvals, and notifications.
- Prepare and maintain required documentation for internal and external regulatory purposes.
- Implement communicated regulatory updates across relevant teams and vendors.
3. Vehicle & Fleet Compliance:
- Ensure all employee transportation vehicles meet regulatory, safety, emissions, and operational standards.
- Oversee periodic vehicle inspections, ensuring documentation accuracy.
- Monitor fleet maintenance schedules to minimize downtime and prevent compliance violations.
4. Safety & Technology Compliance:
- Oversee the implementation and functioning of mandatory safety features (GPS, ELDs, onboard cameras, tracking devices).
- Ensure all vehicles comply with the latest safety and security standards.
- Review performance of digital compliance systems and recommend improvements.
5. Driver Certification & HOS Monitoring:
- Verify driver qualificationsvalid MDL/CDL licenses, endorsements, certifications.
- Support L&D in designing driver training programs aligned with safety and regulatory requirements.
- Monitor compliance with Hours of Service (HOS) regulations using logs, ELD data, and local systems.
- Investigate violations and coordinate corrective actions.
6. Driver Screening & Safety:
- Oversee background checks, drug/alcohol testing, health clearances, and onboarding documentation for all drivers.
- Ensure regular safety refreshers and compliance workshops are conducted.
7. Incident Management:
- Investigate accidents, incidents, and safety breaches involving employee transportation.
- Prepare incident reports, analyze root causes, and recommend preventive measures.
- Coordinate corrective actions with service providers and internal stakeholders.
8. Safety Policies & Preventive Programs:
- Develop safety policies, SOPs, inspection procedures, emergency protocols, and reporting guidelines.
- Implement accident-prevention programs, defensive driving modules, and emergency response training.
9. Internal Compliance Audits:
- Conduct regular audits of transportation operations, safety records, maintenance logs, and driver qualifications.
- Identify gaps and implement corrective and preventive actions (CAPA).
10. External Audit Preparation:
- Facilitate inspections by regulatory authorities (regional transport offices, safety regulators).
- Coordinate data collection, documentation preparation, and audit readiness with service providers.
11. Regulatory Reporting & KPI Monitoring:
- Prepare and submit regulatory reportsELD data, incident logs, inspection reports, driver compliance summaries.
- Develop KPIs such as violations, accidents, downtime, audit scores, and compliance adherence metrics.
- Analyze trends and present insights to management.
12. Vendor Compliance & Contract Oversight:
- Conduct vendor compliance audits and ensure service providers meet contractual safety and regulation standards.
- Ensure transportation contracts include compliance clauses and hold vendors accountable for obligations.
13. Training & Continuous Education:
- Work with L&D to develop training modules on compliance, safety, and regulatory changes.
- Conduct periodic awareness sessions for drivers, supervisors, and support staff.
- Maintain ongoing education programs to reflect updates in laws & industry best practices.
Requirements & Qualifications:
Mandatory Qualifications:
- 7-8 years of experience in compliance management, transportation compliance, logistics operations, health & safety compliance, or fleet regulatory oversight.
- Strong understanding of transportation regulations (DOT, OSHA, EPA, state transport laws).
- Experience managing compliance for fleets, drivers, outsourced transportation partners, or logistics vendors.
- Hands-on knowledge of HOS rules, ELD systems, GPS tracking, and digital compliance tools.
- Experience conducting internal audits and preparing for external regulatory audits.
- Strong analytical skills to evaluate compliance metrics and prepare performance reports.
- Excellent documentation, reporting, and communication skills.
Technical Competencies:
- Expertise in compliance management systems, ELDs, GPS fleet management tools, and transportation audit frameworks.
- Strong proficiency in data analysis for compliance metrics (Excel, dashboards, audit logs).
- Understanding of vehicle safety technology, inspection checklists, and fleet maintenance processes.

- Experience managing third-party service providers in high-volume operations.
