Job Description:
The Purchasing Manager (Stationery) is responsible for leading the complete sourcing, procurement, and supplier-management function for all stationery requirements across the organization.
This role ensures cost-effective purchasing while maintaining the highest standards of quality, compliance, and timely delivery. It requires strong strategic thinking, vendor development, cost negotiation, inventory management expertise, and the ability to collaborate with multiple departments.
Key Responsibilities:
Strategic Sourcing & Procurement
- Develop and execute long-term sourcing strategies for all stationery categories to ensure continuous supply and cost optimization.
- Identify, evaluate, and onboard high-quality suppliers with strong delivery reliability.
- Conduct competitive bidding, price benchmarking, and supplier negotiations to finalize best value contracts.
- Build and maintain supplier scorecards to regularly evaluate vendor performance on price, quality, delivery, and service.
Vendor Negotiation & Relationship Management
- Negotiate annual contracts, rate agreements, and credit terms with vendors.
- Develop alternate vendor sources to avoid dependency and reduce procurement risk.
- Resolve issues related to product quality, delivery delays, payment discrepancies, and supply disruptions.
Inventory & Cost Management
- Monitor inventory levels and establish reorder points to avoid stockouts or excess inventory.
- Analyze purchasing trends, consumption patterns, and pricing fluctuations to identify cost-saving opportunities.
- Ensure adherence to procurement budgets and implement cost-reduction strategies without compromising quality.
Operations & Process Excellence
- Ensure timely delivery and smooth coordination between vendors, warehouse, and internal departments.
- Implement procurement SOPs, compliance controls, and documentation standards.
Cross-Functional Collaboration
- Work closely with departments such as Operations, Admin, Finance, and Warehouse to understand stationery demand and forecast requirements.
- Align procurement plans with company growth, business cycles, and new project requirements.
Leadership & Team Development
- Lead and mentor the purchasing team, set performance goals, and ensure daily functions are executed smoothly.
- Train team members on negotiation, vendor management, and procurement systems.
Compliance & Risk Management
- Ensure all procurement activities comply with company policies, audit requirements, and statutory regulations.
- Maintain transparent documentation for audits, vendor onboarding, and price approvals.
- Mitigate risks by implementing strong vendor screening, quality checks, and supply-continuity planning.
Reporting & Analytics
- Prepare and present MIS reports on purchasing costs, vendor performance, savings achieved, and monthly consumption.
- Track market trends, new product innovations, and pricing movements in the stationery sector.
Qualifications & Skills Required:
- Graduate/MBA
- Minimum 10-15 years of strong experience in procurement, preferably in large-scale
stationery sourcing.
- Proven ability to negotiate contracts and manage multiple vendor relationships.
- Strong expertise in MS Excel, procurement systems, and ERP tools.
- Excellent analytical, forecasting, and cost-analysis skills.
- Strong communication skills with proficiency in English and Hindi.
- Leadership abilities to manage teams and coordinate with senior stakeholders.
- Deep knowledge of stationery SKUs, specifications, pricing structures, and market trends.
