About the Role:
Masters Union operates a fast-paced, high-energy campus environment with multiple academic events, visitor interactions, student movements, and operational needs happening every day.
The Lead Events, Travel & Admin will be the central owner responsible for ensuring flawless execution of events, smooth travel & visa operations, and world-class administration across all MU campuses.
This role requires someone who is operationally sharp, structured, dependable, and capable of managing high-volume coordination with multiple stakeholders. You will handle critical on-ground execution and build scalable systems that strengthen Masters Unions operational backbone.
Key Responsibilities:
1. Events Management
- Plan and execute student events, academic events, workshops, guest sessions, and large-scale flagship events.
- Ensure flawless coordination with faculty, program teams, vendors, speakers, and facilities.
- Create event SOPs, checklists, budgets, and post-event reports.
- Manage AV, logistics, transport, setup, branding, refreshments, and guest experience.
- Handle last-minute changes smoothly and maintain high-quality output.
2. Travel & Visa Operations
- Own end-to-end travel operations for faculty, staff, guests, and students.
- Manage vendor relationships with travel partners (air, hotel, transport).
- Oversee visa processes for international travel (student immersions, executive travel).
- Build SOPs for booking, approval flows, expense limits, and documentation.
- Ensure cost efficiency, timely bookings, and smooth travel experience.
3. Administration & Campus Operations
- Oversee day-to-day admin functions including housekeeping, security coordination, pantry, printing, and maintenance support.
- Ensure campus readiness through daily recce, upkeep checks, and vendor oversight.
- Implement admin SOPs, issue resolution processes, and SLAs.
- Manage inventory, asset tracking, ticketing, and event-related logistics.
- Coordinate with IT, Facilities, Finance, and Program teams for seamless operations.
4. Vendor & Stakeholder Management
- Manage vendors for events, travel, printing, logistics, and campus services.
- Track vendor SLAs, quality of service, billing, and monthly reviews.
- Negotiate pricing, finalize quotes, and maintain operational budgets.
- Build strong relationships with internal stakeholders to ensure timely support.
5. Reporting & Process Excellence
- Maintain trackers for travel, event budgets, admin issues, and vendor invoices.
- Prepare weekly & monthly reports for leadership.
- Identify operational bottlenecks and create process improvements.
- Drive discipline, speed, and execution excellence within the team.
What We Are Looking For:
- 8-12 years of experience in events management, travel operations, admin, or campus operations.
- Strong execution mindset and ability to handle multiple priorities at once.
- Experience managing teams and external vendors.
- High ownership, attention to detail, and ability to work under pressure.
- Excellent communication, organisational, and coordination skills.
- Ability to solve problems quickly with a calm and structured approach.
- Experience in education, hospitality, travel, or high-volume operations is a plus.
