Role Overview:

- We are seeking a dynamic, enthusiastic, and highly organized individual to join our team as the Lead- Student Experience & Events.


- The successful candidate will oversee and manage student engagement programs and events aimed at enhancing the overall student experience, fostering community, and encouraging active participation in university life.


- This role will require strong leadership, creativity, and an understanding of student interests and needs, while also collaborating closely with various campus departments to deliver engaging and impactful programs.

Key Responsibilities:

Student Engagement Program Management:

- Design, plan, and implement student engagement initiatives that promote student involvement, leadership, and community-building.

- Coordinate and facilitate a variety of events and activities to cater to diverse student needs and interests.

- Develop and promote programs that support student well-being, inclusion, and diversity.

Event Planning and Execution:

- Oversee the logistics, coordination, and execution of student events, including large-scale events, workshops, guest speakers, social gatherings, and extracurricular activities.

- Manage event timelines, budgets, venue reservations, and logistics to ensure smooth and successful execution.

- Collaborate with campus departments, external vendors, and student organizations for event support and partnerships.

Vendor Management:

- Identify, negotiate, and manage relationships with external vendors, service providers, and suppliers for event-related services (e.g., catering, AV equipment, entertainment, dcor, security).

- Ensure vendors meet agreed-upon terms, deliver high-quality services, and adhere to budget and timeline constraints.

- Evaluate vendor performance and provide feedback to maintain high standards of service and efficiency.

Team Leadership and Supervision:

- Lead and supervise a team of student leaders, volunteers, and interns, providing guidance and mentorship to encourage professional growth and teamwork.

- Delegate tasks, assign responsibilities, and provide feedback to ensure successful execution of student events and engagement activities.

- Foster a collaborative and inclusive environment for students and staff involved in event planning.

Marketing and Promotion:

- Create and implement marketing strategies to effectively promote student events and engagement programs through various channels, including social media, campus media, and printed materials.

- Engage with student groups, organizations, and academic departments to increase awareness and participation in engagement initiatives.

Assessment and Reporting:

- Gather feedback from students and participants to assess the effectiveness of programs and events.

- Analyze event participation data and provide reports on outcomes, including participation trends and engagement metrics.

- Use feedback and data to continuously improve and innovate engagement strategies.

Budget and Resource Management:

- Develop and manage budgets for student engagement initiatives and events, ensuring financial resources are allocated efficiently.

- Track expenditures and ensure that events stay within budget while maintaining high standards of quality.

Collaboration and Partnerships:

- Establish strong relationships with faculty, staff, and external partners to enhance event programming and opportunities for students.

- Work closely with student organizations, clubs, and societies to support their initiatives and integrate their events into broader engagement strategies.

Crisis Management & Risk Mitigation:

- Prepare for and respond to potential risks and emergencies associated with student events.

- Implement safety protocols and ensure compliance with relevant policies and regulations.

Key Qualifications:

- Master's degree in Higher Education, Student Affairs, Event Management, Communications, or a related field.

- 6 to 12 years of experience in event planning, or a related role, with at least 4-6 years of experience in a leadership or supervisory position.

- Proven track record of successful event management, from planning to execution.

- Strong organizational, time management, and multitasking skills.

- Excellent communication and interpersonal skills with the ability to engage with diverse student populations.

- Proficient in Microsoft Office Suite and event management software; familiarity with social media platforms and digital marketing tools is a plus.

- Ability to work flexible hours, including evenings and weekends, as required for events.

- Strong problem-solving skills and the ability to think quickly in high-pressure situations.

- Knowledge of student development theory and a passion for enhancing the student experience.
