Manager / Senior Manager AIF Operations
Location: Mumbai
Reporting to: VP - Operations
About the role:
The AIF Operations Manager will lead end-to-end operations for the organizations Alternative Investment Funds. The role will be accountable for fund accounting and administrative processes for SEBI-registered AIF schemes, ensuring accurate NAV calculations, transaction processing, and compliance. This role reports to the Vice President AIF & PMS Operations and collaborates closely with Investment, Compliance, Finance, Legal and Technology teams.
Key Responsibilities:
1. Fund Accounting & Administration:
- Manage daily AIF operations - process investor subscriptions/redemptions, record transactions in fund books, support NAV and P&L calculations, reconcile cash and securities, and produce portfolio valuation reports and investor statements.
2. Regulatory Compliance:
- Ensure strict adherence to SEBI AIF/PMS regulations and other statutory requirements. Prepare and file all required regulatory reports (SEBI/RBI filings, audit submissions, tax returns), implement control processes and system updates for new regulations, and coordinate both statutory and internal audits.
3. Investor/Distributor Liaison:
- Serve as the primary operations point-of-contact for investors and distributors. Handle client onboarding (account setup, KYC, documentation), address fund-related queries, and distribute performance updates, reports and newsletters. Maintain clear information flow to external stakeholders, acting as solution-provider for investor and distributor inquiries.
4. Vendor & Custodian Coordination:
- Liaise with custodians, banks and outsourced service providers (e.g. fund administrators, transfer agents) to ensure smooth trade settlement, custody services and fund accounting. Oversee third-party vendor relationships for fund administration, custody and banking operations.
5. Process Improvement & Technology:
- Drive process enhancements and automation to improve efficiency and accuracy. Develop and maintain MIS dashboards and reports and workflow automations.
Qualifications and Experience:
Education:
- Chartered Accountant (CA) or full-time MBA (Finance) strongly preferred.
Work Experience:
- 5-8 years of relevant experience in fund operations at an AMC, asset manager, AIF/PMS fund or similar financial institution. Prior hands-on exposure to Alternative Investment Funds and Portfolio Management Services (SEBI Category II/III AIFs, PMS, or mutual funds) is essential.
Technical Knowledge:
- Deep understanding of SEBI AIF/PMS regulations and accounting rules for private funds. Proven expertise in fund accounting processes (NAV calculation, unit allocation, fee accruals) and securities settlement. Experience with industry systems (e.g. Fund admin platforms), as well as trade processing tools (STP/CBRICS/ICDM).
Skills:
- Excellent analytical and problem-solving abilities, with meticulous attention to detail. Strong communication and interpersonal skills to effectively coordinate across internal teams and with investors/distributors. Ability to work under pressure and meet tight deadlines in a rapidly growing investment environment.
Skills and Tools:
- Proficiency in advanced MS Excel (formulas, VBA/macros) and familiarity with data analysis/BI tools (e.g. Power BI, Tableau) for generating operational reports.
- Some experience with automation and workflow tools.
- Knowledge of accounting and Fund management software; willingness to learn in-house or new digital systems.
- Strong numerical skills. Additionally, excellent written and verbal communication skills.
