Role Overview:
The HR & Compliance Manager will lead the complete HR operations and labour compliance function across multiple states, ensuring error-free statutory compliance, accurate documentation, and smooth HR processes for a large distributed workforce.
This role is central to the companys risk management, audit readiness, legal safety, workforce discipline, and employee lifecycle management. It requires someone who is hands-on, detail-oriented, and strong in labour laws. This role serves as the vital link between the management team and company owners, for all HR related matters.
In a company handling 10,000+ employees, compliance is not an HR task it is business continuity and risk protection.
This role:
- Protects the company from penalties, litigation, and client escalations
- Ensures smooth audits and strong client confidence
- Enables accurate payroll, billing, and workforce stability
- Strengthens reputation and supports growth
Key Responsibilities:
1. Statutory & Labour Compliance (Primary Focus):
- Manage Labour License applications, renewals, contractor compliances, and client-specific documentation.
- Maintain timely filings: ECR, ESIC returns, challans, professional tax, LWF contributions, etc.
- Drive compliance audits (internal, client, and third-party) and ensure zero non-compliance remarks.
- Create compliance trackers, dashboards, audit reports, and risk mitigation plans.
- Maintain accurate employee records, muster rolls, wage registers, statutory registers, and digital compliance files.
2. HR Operations Management:
- Oversee end-to-end employee lifecycle: hiring, onboarding, attendance, payroll coordination, transfers, exits, F&F.
- Ensure accurate data exchange between Operations, HR, and Payroll teams.
- Drive adherence to minimum wage notifications across states; update wage rates in the system.
- Manage grievance resolution, disciplinary actions, and employee relations across sites.
- Handle escalations related to documentation, salary, leaves, ESI/PF issues, or compliance queries.
3. Workforce Administration Across India:
- Support HR operations across multi-state, multi-client locations.
- Coordinate with regional HR teams to ensure documentation quality & consistency.
- Ensure timely submission of statutory documents requested by clients.
- Conduct periodic site visits to verify compliance and employee documentation.
4. HR Automation & Process Improvement:
- Implement and optimize HRMS / payroll / compliance automation tools.
- Digitize compliance documents, records, and employee files for easy retrieval.
- Create dashboards:
- Compliance status
- Attrition
- Deployment gaps
- Statutory payment tracking
- Workforce movement
- Drive process standardization across India.
5. Coordination with Owners & Leadership:
- Provide monthly compliance MIS to the management and owners.
- Escalate non-compliance risks early and recommend corrective actions.
- Work closely with the finance, operations, and legal teams for seamless coordination
Candidate Profile: Qualification: MBA/PGDM in HR, MSW, or strong practical HR operational background.
Experience:
- Minimum 5 - 8 years in HR operations & compliance
- Strong experience in manpower-intensive industries: facilities management, security services, logistics, housekeeping, retail, staffing, or manufacturing.
- Deep understanding of labour laws across multiple states in India.
- Must have experience handling large distributed workforces (5,000+employees).
- Strong documentation discipline, audit readiness, and relationship management with government bodies.
- Ability to work under pressure, handle escalations, and ensure process discipline.
