Position Summary
The HR Operations Manager oversees the full spectrum of HR operational functions, ensuring compliant, efficient, and high-quality HR services across the institution. This role is responsible for optimizing HR systems ensuring regulatory compliance, and support organizational goals.
Key Responsibilities
1. Employee Lifecycle Management
- Coordinate onboarding and offboarding processes, including documentation, orientation, and exit procedures.
- Maintain accurate employee records (digital and physical) in compliance with institutional and regulatory guidelines.
2. HR Operations & Administration
- Prepare HR documents such as job offers, contracts, transfer letters, and performance forms.
- Manage daily HR queries from employees and serve as a first point of contact for HR-related concerns.
- Update and maintain HRIS systems, ensuring data accuracy and timely reporting.
3. Compliance & Regulatory Oversight
- Ensure adherence to labor laws and institutional policies.
- Track and verify mandatory licenses, certifications, training, and credentials (e.g., HIPAA for hospitals, FERPA for educational institutions).
- Support internal and external HR audits by maintaining accurate and compliant documentation.
4. Payroll & Benefits Support
- Assist with payroll processing by validating attendance, leaves, overtime, and relevant payroll inputs.
- Coordinate employee benefits enrollment, changes, and queries in collaboration with benefits providers.
5. Employee Relations
- Address routine employee concerns professionally and maintain confidential communication.
- Support HR in handling disciplinary actions, conflict resolution, and policy-related clarifications.
- Assist in employee engagement initiatives, recognition programs, and wellness activities.
6. Performance & Training Administration
- Coordinate performance review cycles, ensuring timely submissions and accurate documentation.
- Track mandatory training completion, continuing education requirements, and staff development records.
- Support scheduling of training sessions, orientations, and compliance workshops.
7. Recruitment Support
- Post job openings, screen applications, and coordinate interviews with hiring managers.
- Manage candidate communication and ensure a positive recruitment experience.
Qualifications & Requirements
Education
- Bachelor's degree required; Master's in HR, Business Administration preferred.
- Professional certifications (SHRM-CP/SCP, PHR/SPHR) desirable.
Experience
- 10-15 years of progressive experience in HR operations
- Strong background in hospital/clinical HR operations or educational institute HR operations.
