About the Family:
The family is a well-established, multi-generational family professionals, and business owners, originally based in Kolkata and now settled in Mumbai. The familys income is derived primarily from a long-standing practice and a diversified portfolio of investments that includes listed securities, debt instruments, real estate holdings, and select unlisted opportunities.
The family also owns a few investment vehicles and manages a few charitable trusts. The core accounting and tax operations are currently managed by an experienced back-office team in Kolkata, while Mumbai serves as the familys primary base and coordination hub. Over time, the family intends to consolidate most family office functions in Mumbai.
Role Overview:
The Family Office Manager will serve as the principal professional responsible for managing, coordinating, and modernising the familys financial, compliance, and investment affairs. The role demands both strategic oversight and operational capability.
In addition to overseeing investments and compliance across entities and trusts, the Manager will supervise a Mumbai-based investment professional, lead the digitisation of accounting and compliance systems, and support the gradual transition of family office operations from Kolkata to Mumbai.
The individual will also function as the Company Secretary of a family-owned tea company, ensuring full compliance with corporate and statutory requirements for that entity. The tea companys accounting and finance functions, however, are handled independently and will not fall within the scope of this role.
Integrity, confidentiality, and a long-term commitment to the familys interests are paramount.
Key Responsibilities:
1. Financial Oversight and Coordination:
- Review and monitor financial reports prepared by the Kolkata-based team across all family entities and trusts.
- Consolidate financial summaries and investment statements for family review.
- Implement digitisation initiatives to improve transparency, efficiency, and cost control.
- Support the planned transition of accounting and compliance functions to Mumbai over time.
2. Investment Management Supervision:
- Oversee the work of the Mumbai-based investment professional managing listed, debt, unlisted, and real-estate investments.
- Track and report on investment performance, cash flows, and portfolio metrics.
- Liaise with fund managers, brokers, advisors, and custodians to ensure compliance and effective execution.
- Prepare periodic investment and net worth reports for the family.
3. Compliance and Governance:
- Ensure full compliance with statutory and regulatory requirements under the Companies Act, Income Tax Act, FEMA, SEBI, and trust laws.
- Coordinate with external tax consultants, auditors, and legal counsel.
- Maintain corporate records and ensure timely filings for all relevant entities.
4. Company Secretarial Responsibilities (Tea Company):
- Serve as the Company Secretary of the familys tea company.
- Ensure all board meetings, statutory filings, and governance matters are conducted in accordance with the Companies Act and applicable laws.
- Provide compliance support to management while maintaining a clear boundary from the companys accounting and finance operations.
5. Trusts and Not-for-Profit Management:
- Oversee compliance and reporting for the familys charitable and philanthropic trusts.
- Liaise with trustees, auditors, and regulators to maintain accuracy and transparency.
6. Family Office Development and Transition:
- Digitise accounting, investment tracking, and compliance processes to improve control and reduce cost.
- Lead the gradual migration of family office activities to Mumbai.
- Build and manage relationships with key service providers and coordinate seamlessly between family members and advisors.
Desired Qualifications and Skills:
- Qualified Company Secretary (CS); additional qualifications such as CA, MBA (Finance), or CFA preferred.
- 10-15 years of relevant experience in family offices, investment firms, or corporate finance/compliance roles.
- Strong understanding of Indian company law, taxation, trust regulations, and investment compliance.
- Proven experience in digitisation, automation, or process improvement.
- Demonstrated ability to lead teams and coordinate across multiple stakeholders.
- Exceptional integrity, confidentiality, and judgment.
- Excellent communication and reporting skills.
- Long-term orientation and professional maturity.
