Description:
- Experience:
Essential:
- 10-15 years experience in Workplace Management (Admin, Facilities and Property Management, Real Estate and Projects)
- Experience in end-to-end management of large-scale events (Symposiums, Conferences, festivals, Townhalls, Offsites) with multinational stakeholders
- At least 5 years experience of leading a diverse crew of ground staff (security team, housekeeping team, pantry staff, maintenance staff)
- At least 5 years experience in end-to-end vendor management
- Exposure to Travel desk management
Responsibilities:
Facility Management:
- Coordination with building management team and ensure seamless facility operation.
- Managing activities like parking management, waste management, building security etc.
- Hazard / Disaster management including training and leading Emergency response team.
Office Management:
- Oversees critical activities like Procurement, Inventory management, Housekeeping, Pest Control, and Horticulture.
- Office Security management including deciding on optimal staffing, managing rosters, conducting periodic trainings and briefing for security personnel.
- Managing employee / visitor experience including visitor management, Front Desk, employee transportation, cafeteria, recreation, health & safety, and concierge.
- Ensure 100% uptime of critical equipments managed by Admin team.
- Repair and maintenance work as and when needed.
Event Management:
- End-to-end management of all events (global visits, festival celebrations, townhalls, offsites, etc.).
- This could include managing travel and lodging, on ground transport, booking venues, catering, gifting, arranging any team building activities, etc.
Travel Desk:
- Travel desk set up and management for outbound travel.
- Cater employee requests for domestic / international travel as per travel policy.
- Coordinate between employees and vendors for visa/passport issuance, flight tickets, hotel booking and local transportation.
Car Lease:
- Manage the complete process of company car lease for employees.
- Coordination between employees and leasing vendor. Ensure all assistance are provided to the employees while leasing a car.
- Managing foreclosures of lease as per policy.
Team management:
- Lead diverse crew of 8-10 ground staff (security, housekeeping, pantry staff, maintenance staff)
- Determine appropriate staffing level and managing rosters
- Responsible for teams training and development needs
Vendor Management:
- Vendor selection based on the requirement.
- Owning end-to-end vendor processes like agreement reviews, negotiations / renewals, invoicing, payments, quality check, periodic performance evaluation, etc.
- Ensuring vendor compliance especially from CLRA perspective
Process and Governance:
- Preparation of Admin budget (Capex and Opex)
- Tracking, forecasting and reporting of expenses
- Ensures SOPs, RCMs and evidence are in place to ensure compliance
- Compliance with all applicable laws including guidelines on employee health and safety
Stakeholder management:
- Regular interaction with India leadership team and support teams
- Regular coordination with vendors and building management team
- SPOC for all Amin related employee requests / grievances
