Key Responsibilities :
1. Accounts Payable (AP) Management :
- Own the end-to-end AP lifecycle - from invoice receipt, verification, and matching to approval workflows and payment disbursement.
- Manage and reconcile payables across a large vendor ecosystem including hotels, transport partners, experience providers, and international DMCs.
- Ensure timely and accurate processing of high-volume invoices in compliance with agreed payment terms and internal controls.
- Drive vendor statement reconciliations and proactively resolve discrepancies and disputes.
- Build and maintain strong relationships with key suppliers, acting as the primary finance point of contact.
- Implement and enforce AP policies, SOPs, and approval authority matrices.
- Monitor aging reports and ensure zero/minimal overdue payables; escalate exceptions where needed.
- Lead automation and process improvement initiatives within AP to reduce manual effort and errors.
2. Cash Flow Management :
- Prepare, maintain, and track daily, weekly, and monthly cash flow forecasts with high accuracy.
- Monitor actual vs. projected cash flows and provide variance analysis with actionable insights to leadership.
- Optimise payment scheduling to maintain healthy liquidity without compromising supplier relationships.
- Coordinate with the Revenue/Collections team to align receivables with payables for effective working capital management.
- Maintain adequate bank balances across multiple accounts; liaise with banking partners for fund transfers and sweep accounts.
- Support treasury operations including short-term investment of surplus funds and management of credit lines.
- Provide cash flow inputs for monthly MIS, board packs, and business planning exercises.
3. Foreign Exchange (Forex) Management :
- Manage foreign currency payables across multiple currencies (USD, EUR, GBP, SGD, AED, etc.) arising from international supplier settlements.
- Track and analyse exchange rate movements; time payments strategically to minimise forex exposure.
- Execute forex transactions through authorised banking channels; maintain records of all currency conversions.
- Liaise with bank treasury desks for competitive forex rates and forward contract opportunities where applicable.
- Ensure compliance with FEMA / RBI regulations for all outward remittances and international payments.
- Maintain forex gain/loss ledgers and report on currency impact in monthly closing packs.
- Build internal dashboards to track open forex exposures and hedge positions.
4. Controls, Compliance & Reporting :
- Ensure all payable transactions comply with GST / TDS / Withholding Tax obligations and coordinate timely filings.
- Maintain clean, audit-ready AP ledgers; lead internal and statutory audit preparedness for the payables function.
- Prepare and present monthly AP MIS reports including outstanding payables, cash outflow summaries, and forex P&L.
- Establish strong internal controls and segregation of duties across the payables function.
- Support ERP and accounting system enhancements from a payables and treasury perspective.
What We're Looking For :
Must-Have :
- 6 - 8 years of hands-on experience in Accounts Payable, Treasury, or a similar finance operations role.
- Strong understanding of working capital dynamics and cash flow management in a high-transaction business.
- Direct experience handling multi-currency payments and forex settlements.
- Proficiency with ERP systems (Tally, Zoho Books, SAP, Oracle, or similar); strong MS Excel skills.
- Sound knowledge of GST, TDS, FEMA, and relevant accounting standards.
- Exceptional attention to detail with the ability to manage large volumes of data accurately.
Nice-to-Have :
- Prior experience in the travel, hospitality, or e-commerce industry.
- Exposure to treasury management systems or forex hedging instruments.
- Experience building or improving AP automation workflows.
- Comfort with financial dashboards and BI tools (Power BI, Tableau, or similar).
