Position Summary
We are seeking a meticulous, experienced, and proactive Senior HR Payroll Specialist to join our Human Resources team in Bangalore. The ideal candidate will be responsible for managing our end-to-end payroll operations, ensuring accuracy, timeliness, and compliance with all statutory regulations.
This role is critical to our employee experience and requires a high degree of integrity and attention to detail. You will be the primary point of contact for all payroll-related matters and will work closely with the HR and Finance departments to ensure seamless processing and reporting.
Key Responsibilities
1. End-to-End Payroll Processing:
- Manage the complete monthly payroll cycle for all employees, ensuring timely and accurate salary disbursement.
- Collect, validate, and process all payroll inputs, including new hires, exits, attendance data, leave records, variable pay, incentives, and salary revisions.
- Perform pre-processing and post-processing checks and audits to ensure 100% accuracy.
- Handle the full and final (F&F) settlement process for exiting employees, including calculation of notice period, leave encashment, and gratuity.
2. Statutory Compliance & Taxation:
- Ensure accurate calculation, deduction, and timely remittance of all statutory dues, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), and Labour Welfare Fund (LWF).
- Prepare and file all periodic statutory returns (monthly, quarterly, annually) as per government regulations.
- Manage employee income tax (TDS) calculations, deductions, and timely deposit.
- Oversee the entire investment proof verification process, update employee records, and issue Form 16 to all employees accurately and on time.
- Stay consistently updated with any amendments to labor laws and tax regulations to ensure full compliance.
3. Reporting & Reconciliation:
- Prepare monthly payroll reconciliation reports and share them with the Finance team.
- Generate Management Information System (MIS) reports related to payroll, such as variance analysis, headcount reports, and department-wise cost summaries.
- Assist the Finance team with payroll-related journal entries and provide support during internal and statutory audits.
4. Employee Query Management:
- Act as the first point of contact for all employee queries regarding salaries, tax deductions, payslips, and reimbursement claims.
- Provide clear and timely resolutions to employee concerns with a high level of professionalism and confidentiality.
5. Process Improvement:
- Continuously review payroll processes to identify opportunities for automation and efficiency improvements.
- Maintain comprehensive and up-to-date documentation for all payroll processes and workflows.
Required Skills and Qualifications
- Education: Bachelor's degree in Commerce (B.Com), Finance, Business Administration, or a related field.
- Experience: A minimum of 5 years of dedicated experience in handling the complete Indian payroll lifecycle.
- Statutory Knowledge: In-depth, current knowledge of Indian payroll and labor laws, including the PF Act, ESI Act, Gratuity Act, Shops and Establishment Act, and Income Tax regulations (TDS).
- Software Proficiency: Hands-on experience with modern payroll software (e.g., GreytHR, Zoho Payroll, Keka, ADP, Ramco, etc.).
- MS Excel Skills: Strong proficiency in Microsoft Excel is essential, including advanced functions like VLOOKUP, HLOOKUP, Pivot Tables, and logical formulas for reporting and reconciliation.
