About the Role:
We are seeking an experienced and detail-oriented U.S. Payroll & Compliance Specialist to join our team in Chandigarh. This full-time, on-site position is responsible for ensuring accurate and timely payroll processing for U.S.-based employees while maintaining full compliance with federal and state payroll regulations.
In this role, you will manage the end-to-end payroll cycle, oversee multi-state tax compliance, verify employee records and adjustments, and collaborate closely with HR, Finance, and CPA partners. This position requires strong analytical capabilities, a high level of accuracy, and a deep understanding of U.S. payroll laws and standards.
You will also be responsible for handling payroll queries, managing garnishments, maintaining payroll documents, and ensuring all payroll operations run smoothly and efficiently.
Key Responsibilities:
- Process weekly and bi-weekly U.S. payroll accurately and on schedule.
- Manage multi-state payroll compliance, including state-specific tax rules and wage regulations.
- Validate employee hours, deductions, benefits, reimbursements, and payroll adjustments.
- Perform payroll reconciliations, prepare payroll reports, and resolve discrepancies.
- Maintain accurate payroll documents including W-4s, garnishment orders, tax forms, and benefits deductions.
- Ensure compliance with FLSA guidelines and state-level wage and hour laws.
- Manage payroll tax submissions, filings, and reporting in coordination with internal teams or external providers.
- Respond to and resolve payroll-related inquiries from employees and internal stakeholders.
- Maintain updated and compliant payroll records in alignment with internal policies and audit requirements.
- Collaborate with HR, Finance, and CPA teams to ensure seamless payroll operations.
Qualifications & Experience:
- 2-5 years of hands-on experience in U.S. payroll processing and compliance.
- Strong understanding of multi-state payroll rules, payroll tax basics, and wage regulations.
- Experience with payroll platforms such as ADP, Gusto, QuickBooks Online Payroll, or similar systems.
- Proficiency in Excel/Google Sheets for data validation, reporting, and reconciliation.
- High level of accuracy, attention to detail, and commitment to maintaining error-free payroll cycles.
- Strong written and verbal communication skills for U.S.-based coordination.
- Ability to work independently, manage deadlines, and handle confidential information responsibly.
