Position Overview:
The Head - Procurement plays a critical leadership role in ensuring effective, transparent, and value-driven procurement across the organization. Reporting to the Head of Department - Commercial & Procurement, this role is responsible for managing end-to-end procurement and supply chain activities across service categories including Food & Beverage, Housekeeping, Security, Administration, Engineering & Maintenance, AMC contracts, Imports & Exports, and other corporate services. The role balances commercial acumen with governance, compliance, and operational continuity.
Reporting Relationship:
Reports to: Head of Department (HOD) - Commercial & Procurement
Works closely with: Finance, Legal, Operations, F&B, Engineering, Administration, Projects, Audit, SCM, and IT teams.
Key Responsibilities:
Procurement Strategy & Governance:- The incumbent will support and execute the overall procurement strategy defined by the HOD - Commercial & Procurement. This includes implementing procurement policies, SOPs, approval matrices, and delegation of authority frameworks. The role ensures adherence to standard procurement norms such as competitive bidding, transparent vendor selection, segregation of duties, and maker-checker controls. Ethical sourcing practices and strict compliance with the organization's code of conduct are integral to the role.
Strategic Sourcing & Category Management:- The role involves managing category-wise sourcing strategies across key service areas including F&B, housekeeping, security, engineering services, administration, travel, and imports. This includes spend analysis, market benchmarking, vendor rationalization, and establishing rate contracts or framework agreements. A strong focus is placed on cost optimization, value engineering, and long-term supplier partnerships.
Contracting & Commercial Management:- The Lead - Procurement is responsible for leading commercial negotiations and ensuring that all contracts are commercially robust and legally compliant. Contracts must clearly define scope, SLAs, KPIs, pricing, escalation mechanisms, penalties, indemnities, and termination clauses. The role ensures all contracts are reviewed by Legal and Finance and are managed through their complete lifecycle including renewals and closures.
Food & Beverage Procurement:- This role oversees procurement of raw materials, ingredients, beverages, packaging, disposables, and kitchen equipment. Ensuring compliance with food safety standards, FSSAI norms, shelf-life controls, and approved supplier lists is critical. The role supports new product development by sourcing suitable vendors and finalizing commercials in coordination with operations and culinary teams.
Facility Services - Housekeeping, Security & Administration:- The incumbent manages procurement of housekeeping, security, manpower services, pest control, waste management, and other facility services. All vendors must comply with statutory labor laws including minimum wages, PF, ESI, and insurance requirements. The role also oversees administration-related procurement such as corporate travel, accommodation, office supplies, courier services, and fleet management.
Engineering, Repairs & Maintenance:- The role covers procurement for civil, electrical, HVAC, and MEP services including preventive and breakdown maintenance. AMC contracts are managed with clear performance metrics, uptime requirements, and response times. The role supports capex planning, refurbishment projects, and lifecycle cost optimization in coordination with engineering and projects teams.
Import & Export Management:- The role manages international sourcing activities in compliance with DGFT, customs, GST, FEMA, and Incoterms. This includes coordination with customs agents, freight forwarders, and logistics partners while optimizing landed cost, duties, and delivery timelines.
Supply Chain, Controls & Audit:- The role ensures supply continuity through proper demand forecasting, inventory controls, safety stock norms, and ERP/P2P system integration. The incumbent supports internal and statutory audits, ensures timely closure of audit observations, and tracks procurement KPIs such as savings, cost avoidance, vendor performance, and SLA adherence.
Leadership & Stakeholder Management:- The role leads and mentors multi-location procurement teams and acts as a key interface between business stakeholders and the HOD - Commercial & Procurement. The role involves presenting MIS reports, savings dashboards, and risk updates to senior management while driving continuous improvement and procurement maturity.
Qualifications & Experience:
- Bachelor's degree in Engineering, Commerce, Supply Chain, or Hospitality
- MBA / PGDM in Supply Chain, Operations, Finance, or Procurement preferred
- 20-25+ years of progressive experience in Procurement, Commercial, or Supply Chain roles
- Strong exposure to service industry, hospitality, facilities management, or large multi-location operations
