One of our clients, A leading AMC in Netherlands is looking for a right candidate for the below mentioned position.  Investment Operations Specialist  Basic Job Purpose:  To structurally and efficiently maintain a fluid process for Investment Operations and operational activities required for client accounts. Provide an accurate portfolio by identifying operational risks whilst also striving to ensure the Investment Operations team supports all new business ideas and functions through innovation and to operate efficiently around the man and machine corporate vision.   The Investment Operations Specialist sits within the Investment Operations team reporting to the Investment Operations Manager. This team resides in the organization's Operations department. Monitor all operational risks surrounding trade & dealing activity by liaising with brokers, custodians and transfer agents to resolve any issues.  This position also requires the maintenance of internal systems to monitor P&L and provide material information regarding the status of the portfolio to Investment Management and senior management as part of the trade settlement and administration activity. The Investment Operations Specialist will work within his/her department or with other departments interacting with the settlement specialists, custodians and fund accountant to ensure the trades are settled in line and ensure that all the administration and operational activities surrounding the Account and the portfolios are efficiently executed. This position enables the Investment Management and Research & Development (R&D) teams to effectively optimize the portfolio based on timely and accurate information. Without this information the portfolio cannot be traded as there may be hidden risks.  Within the Investment Operations team, you will support in managing third party relationships (administrator, custodian, brokers) to monitor, evaluate and improve the quality and performance of the services provided. Following the direction from Customer Relationship Management (CRM- s) or Investment Management (IM- s), execute and follow up to settlement deal instructions with the administrator and custodian. The Account Administrator is responsible for all onboarding processes - clients, brokers, funds & third parties - ensuring internal and regulatory requirements are met and best practice is constantly applied. Also provide advice and guidance on client reporting and assist with the production of presentations.  In this role, work closely with the Corporate Strategy and Business Development Team and the Customer Relationship Team where required to ensure that client reports are accurate, well presented and provided in a timely manner. Work closely with the R&D department where reports may require assistance for input or have to be written.   Administration:   Department Structure and Teamwork:   - Within this team you will work in a matrix or support the Investment Management, R&D, CS&BD and Customer Relationship Management departments.   - You will demonstrate and be a proactive member of your team contributing to a positive working environment and supporting the vision and mission of the company and its resulting policies, procedures and processes.   - You will, where required, participate in the corporate yearly planning supporting your department head in doing so.   - Actively participate in your own personal development through active review of your KPI's and your learning and development needs as they related to your position.   Business Impact:   Trade Monitoring & Settlement   - Trade Confirmation and Validation (Trader vs. Internal systems vs. Counter parties) to ensure trades match for settlement and the P&L is accurately recorded.   - Trade support: resolve discrepancies by liaising with brokers and custodians amending trade bookings where necessary.   - Follow trades through settlement minimizing fails and monitoring risk.   - Market Access Coverage: be aware and responsible for information regarding market access such as national holidays, new regulatory implications etc.   - Settle cash payments/receivables on derivatives.   Corporate Actions   - Monitor corporate actions ensuring that all information is consolidated in an organized format for the investment management department to take actions.   - Ensure that the process for timely decision making is followed for corporation action activity and that decisions are acted upon and concluded.   Account Reconciliation   - Cash: reconcile cash balances at custodians, counter parties and administrators, flagging and resolving discrepancies.   - Stock: reconcile traded portfolio positions across all products and strategies with counter parties. Follow through any discrepancies to resolution.   - Constantly ensure accounting book, share register and custody positions are reconciling.   - Reconcile clients- holdings from the share register against individual portfolio and risk profile.   Account Valuation   - Actively liaise with the custodian and the internal accounting team to resolve any issues and discrepancies before the Account valuation period.   - Validate valuation pack(s) provided by the Administrator following a thorough control process.   - Validate client's month end statements provided by the Administrator following a thorough control process.   Portfolio Management Software  - Daily maintenance of Tradar:   - Book trades.   - Book corporate actions post IM decision.   - Monitor alerts regulatory thresholds and rules maintenance - in agreement with IM.   Service Provider Management   - Define KPI & MIS, scorecard, SLA and service credits for all service providers (brokers, custodian, and administrator).   - Issue tracking and follow from initiation through to resolution.   - Monitor and evaluate the quality and performance of each service provider against agreed criteria, providing structural risk and performance reports to the team and management.   - Maintain all documentation for each relationship and organize regular reviews to capture new business and services as well as regulatory requirements.   - Actively manage each relationship by chairing regular service reviews and support joint projects and initiatives.   Reporting   - Provide reports on the quality of service from brokers, custodians to ensure internal quality monitoring is in place, reporting any risks to the business owners and to risk and compliance.   - Deliver risk issues to the risk managers of operations team, producing reports and analysis where required.   - Supervise the production of client reporting, organize dispatch & assist ad hoc client request.   - Provide month end valuation reports to Finance department for the quarterly billing process.   - Ensure data integrity for ad hoc client reports to be produced by IM.   On boarding:   - Client On boarding - interact with the relevant internal parties - CRM, Compliance - and the appointed administrator and custodian to open new client accounts (AML/KYC)   - Fund Onboarding - liaise with all internal and external parties to gather the required documentation - prospectus, legal documentation, AML/KYC documentation - and ensure smooth and efficient launch(es).   - Broker Onboarding - Work closely with preferred brokers to open accounts. Gather all required documentation (AML/KYC) with internal and external parties.   - Constantly ensure all documentation is updated and all accounts are in compliance with regulatory and internal rules.   Dealing Support   - Processing of client subscriptions and redemption in liaison with the business development and client relationship management team.   - Processing of re-balancing deals instructed by Investment Management.   - Dispatch deal confirmation following rules set in the fund's prospectus.   - Instruct custodian with relevant cash movement instructions to ensure timely settlement of deals.   Supporting the business:   - Support in the provision of requirements where needed for products to be developed and projects to be implemented.   - Assist in the creation of products and services in the Investment Operations department to maximize the revenues and achieve optimal cost savings.   - Provide support to other department product requirements where it impacts Investment Operations.   - Work closely with Investment Operations Manager as well as all the functions and departments (CS&BD, Research and Development and Operations) to deliver results and aim for continuous improvements for the Investment Operations strategies.   - Perform special assignments or projects as assigned by the Investment Operations Manager, COO or Executive Office from time to time.   Risk Control Responsibilities:   - Support the Investment Operations Manager to ensure that the Investment Operations team conducts themselves within the set risk mandates and provide the daily results to Risk, Performance and Valuation and the COO, as well as other parties when requested.   - Mitigate risks associated with trade execution and trade lifecycle via process improvements and innovation. (E.g. reputational and fiscal)   - Support in reducing department costs and preventing losses by identifying and reducing inefficiencies within Investment Operations.   Processes:   - Support in ensuring that there is the creation of the Investment Operations data model (containing all the data that is produced or requires integrity checks within the department)   - Support the Investment Operations Manager in the creation of the Investment Operations department handbook and ensure it contains all the relevant policies, processes, procedures, and templates.   - Support in identifying, developing, designing, maintaining and improving process flows and Standard Operating Procedures within the Investment Operations function to ensure that these are defined and followed according to the standards, with respect to all activities managed within trading, settlement, corporate actions, accounting and reporting practices.   - Support the development of adequate processes for structuring the Investment Operations department in line with the Lean Six Sigma methodology and approach and ensure that the team works in alignment with the corporate guidelines   - Produce quality requirements and provide the required input for process initiation and improvement for product development for required software and applications (such as but not limited to middle office, back office software)   Education & Experience:  - Minimum post graduate degree in economics or finance/investments and related professional qualifications (CFA) and other additional qualifications.   - At least 5 years of experience working in a financial institution, preferably dealing with various asset classes (i.e. equity, fixed income, convertibles etc.).   - Understanding of the trade lifecycle from start to finish.   - Understanding of the deal lifecycle from start to finish.   - Appreciation for the NAV and balance sheet of an Account.   - Highly structured with respect to planning and working processes and ability to prioritize and manage multiple assignments simultaneously.   - Interested to further expand knowledge of investment management and economics in general.   - Understanding of AML & KYC requirements.   Preferred (if applicable):   - Experience with portfolio management software - Tradar.   - Some accounting experience.   - Buy side experience.   - Experience with and/or knowledge of programming languages, database construction and maintenance, software applications, including Bloomberg, FactSet, Worldscope, and Compustat.   - Excellent excel skills.   Interested may send your profiles with current CTC details  Premnath Bojan, Datamatics Staffing Services Bangalore.
