As we expand, we are seeking an experienced Facility Manager to ensure smooth facility operations, professional client management, seamless travel support, and successful event execution.
About the Role:
The Facility Manager will oversee soft services, office operations, vendor management, CEO travel coordination, client/visitor experience, and internal event planning.
This role requires strong coordination skills, attention to detail, and a service-oriented approach.
Key Responsibilities:
Facility & Soft Services Management:
- Oversee housekeeping, security, cafeteria, and front-office operations.
- Ensure cleanliness, hygiene, and comfort across all office spaces.
- Manage vendor relationships, negotiate contracts, and monitor SLAs.
- Prepare facility budgets and optimize operational costs.
- Ensure compliance with health, safety, and environmental regulations.
- Manage reception/front-office operations including visitor handling, ID cards, and meeting room readiness.
- Monitor pantry services, including beverages, snacks, consumables, and support for catering needs.
- Coordinate preventive maintenance and timely repair of electrical, plumbing, HVAC, and other office utilities.
- Manage inventory of office supplies, stationery, assets, and track all asset movement.
- Supervise security protocols including access control, CCTV monitoring, fire safety, and workplace safety procedures.
CEO Travel Coordination:
- Plan and manage CEOs travel arrangements (flights, hotels, transportation).
- Ensure timely bookings and cost-effective travel solutions.
- Coordinate with the Executive Assistant for itinerary accuracy.
- Manage last-minute changes and ensure seamless travel experience.
Event Planning & Coordination:
- Plan internal events, leadership meetings, conferences, and celebrations.
- Handle logistics, vendor coordination, catering support, and on-ground execution.
- Maintain event calendars and ensure timely delivery.
Client & Stakeholder Management:
- Manage client and visitor interactions professionally.
- Ensure meeting rooms, front-office areas, and hospitality standards are always client-ready.
- Handle client queries, escalations, and onsite requirements with prompt resolution.
- Coordinate with internal teams to deliver a seamless stakeholder experience.
- Maintain strong relationships with external partners and service vendors.
Required Skills & Qualifications:
- Bachelors degree in Administration, Facilities Management, or related field.
- 5+ years of experience in facility management, travel coordination, and event handling.
- Strong vendor management, negotiation, and organizational skills.
- Excellent communication and interpersonal abilities.
- Ability to handle client interactions and high-level visitor management.
- Proficiency in MS Office and travel booking tools.
