Job Title: Senior Manager - Administration (East Region)

Location: Kolkata

Job Purpose:

Responsible for leading Administration operations across the East Region, ensuring safe, compliant, efficient, and business-ready workplaces that support IndiGo's operational and growth objectives. The role is accountable for administration governance, facilities management, infrastructure readiness, stakeholder management, vendor performance, statutory and regulatory compliance, crisis response, and operational continuity across airport and non-airport locations. The incumbent will work closely with regional business leaders, airport operators, regulatory authorities, government agencies, and service partners to ensure seamless operational support, high service standards, business continuity, and a positive workplace experience across the region.

Key Responsibilities:

Regional Administration Leadership:

- Lead end-to-end administration operations across the East Region covering offices, airport facilities, operational bases, ticketing offices, cargo facilities, and other business support locations.

- Ensure all locations remain safe, compliant, operationally ready, and aligned with business requirements.

- Drive service excellence, governance, operational discipline, and standardization across the regional portfolio.

- Monitor regional priorities, operational risks, service issues, and infrastructure requirements, ensuring timely resolution and escalation.

- Support business growth through administration readiness for new locations, workplace changes, infrastructure enhancements, and expansion initiatives.

Facilities & Infrastructure Management:

- Oversee maintenance, housekeeping, workplace services, utilities, employee amenities, and infrastructure support across all locations.

- Manage facilities operating within critical, high-security, and operationally sensitive environments, ensuring adherence to airport, aviation, safety, and security requirements.

- Drive approved refurbishment, expansion, and workplace improvement initiatives.

- Oversee space utilization, workplace planning, and administration asset lifecycle management.

- Drive initiatives to enhance workplace experience, employee wellbeing, and service delivery standards.

- Ensure facilities consistently support business continuity, operational requirements, and employee productivity.

Stakeholder Management & Business Partnering:

- Act as the primary Administration interface for regional leadership teams, airport stakeholders, station teams, and corporate functions.

- Build and maintain effective relationships with airport operators, regulatory bodies, government agencies, local authorities, service providers, and key external stakeholders.

- Partner with HR, Finance, Procurement, Security, Operations, Engineering, Cargo, and other functions to support business objectives.

- Represent the Administration function in operational reviews, governance forums, and stakeholder discussions.

- Drive timely resolution of stakeholder concerns and facilitate alignment across internal and external stakeholders.

Vendor Governance & Commercial Management:

- Lead sourcing, onboarding, governance, and performance management of administration and facilities service providers.

- Negotiate and manage contracts and service agreements to ensure service excellence, compliance, and commercial value.

- Monitor vendor performance through SLAs, scorecards, periodic reviews, and corrective action plans.

- Drive cost optimization and budget discipline while maintaining required service standards.

- Support budgeting, expenditure monitoring, and cost visibility across the regional administration portfolio.

Compliance, Risk & Governance:

- Ensure compliance with all applicable statutory, regulatory, airport, safety, security, environmental, and company requirements.

- Maintain readiness for audits, inspections, certifications, and compliance reviews, ensuring timely closure of observations.

- Coordinate with internal teams, airport authorities, and regulatory agencies on compliance-related matters.

- Identify and mitigate operational, compliance, and infrastructure risks to safeguard employee safety and business continuity.

- Promote adherence to established SOPs, governance standards, and internal controls across the region.

Crisis Management & Business Continuity:

- Lead administration response during emergencies, infrastructure failures, operational disruptions, and crisis situations.

- Coordinate with airport authorities, emergency services, local agencies, service providers, and internal stakeholders to minimize operational impact.

- Drive contingency planning, escalation management, and business continuity preparedness across the regional portfolio.

- Implement corrective and preventive actions arising from incidents and operational disruptions.

Reporting & Continuous Improvement:

- Maintain accurate operational reporting, dashboards, records, and management reviews.

- Monitor service delivery, vendor performance, compliance status, and key operational metrics.

- Identify improvement opportunities and drive process simplification, standardization, and service enhancement initiatives.

Team Leadership:

- Lead, coach, and develop regional administration teams through effective performance management, capability building, and succession planning.

- Foster a culture of accountability, collaboration, service excellence, and continuous improvement.

- Conduct structured reviews of priorities and team deliverables to ensure alignment with business objectives.

Qualifications:

Essential:

- Bachelor's Degree in any discipline.

Preferred:

- MBA / PGDM.

- Certification in Facilities Management, Workplace Management, Infrastructure Management, Project Management, Business Continuity Management, or related disciplines.

Desired Experience:

- 12+ years of relevant experience in Administration, Facilities Management, Workplace Services, Corporate Infrastructure, Real Estate Operations, or Business Support functions within a large multi-location organization.

- Demonstrated experience managing geographically dispersed administration and facilities portfolios across multiple locations.

- Experience in aviation, airports, hospitality, logistics, infrastructure, manufacturing, retail, or other operationally intensive environments will be preferred.

- Experience in airport administration, aviation operations, or management of facilities within operationally critical and high-security environments will be preferred.

- Strong understanding of facility operations, compliance requirements, and business continuity practices.

- Proven experience managing relationships with airport operators, regulatory authorities, government agencies, service providers, and key business stakeholders.

- Strong commercial acumen with experience in vendor management, contract administration, budgeting, and cost optimization.

- Demonstrated experience in crisis management, incident response, and business continuity support.

- Strong knowledge of the regional operating environment, stakeholder ecosystem, and local business landscape.

- Preference will be given to candidates with experience operating in the East Region.

- Knowledge of Bengali and/or other regional languages will be an advantage.
