JOB DESCRIPTION  JOB TITLE: HR Administrator   JOB LOCATION: Bangalore  BUSINESS STREAM: Business Support  JOB REQUISITES :  Role Summary :  The role of Shared Services HR Administrator is to provide administrative and coordinating support within the HR Shared Services Team to ensure the smooth delivery of a pro-active administrative and operational HR service to all UK offices.  - You will be responsible for undertaking general administrative duties, with priority focus, on the specific duties below. These will be managed via the Enforma and Agresso systems. You will also be responsible for updating and managing tasks using existing tracker systems to ensure associated HR administration is captured and delivered. Specific duties will include:  Clients: Your clients are the Internal community and the team will be highly client facing through ensuring all queries are dealt with in a timely and accurate manner, standards are met and work is delivered against Key Performance Indicators. The whole administrative function must be responsive to the needs of the business.  Employee Variations: Creating correspondence for all forms of variation; such as the change in hours, promotions, change of line managers, job titles and locations and salary increases. You will also be responsible for updating the system and advising the key stakeholders.  General Administration: Providing employment reference letters for current and ex-employees, providing confirmation of employment letters for current employees and completing invite letters in relation to Visa applications.  Role Summary :   The role of Shared Services HR Administrator is to provide administrative and coordinating support within the HR Shared Services Team to ensure the smooth delivery of a pro-active administrative and operational HR service to all UK offices.  Responsibilities :   - Data Integrity and Systems: the HR system is the first point of entry for the majority of employee data for the business feeding into the IT and Finance systems, and into the Global People Database. The team is responsible for ensuring accurate completion of employee data, changes and regular reconciliation of data integrity.   - Absence management: reconciliation and analysis of employee sickness, responding to queries on ad hoc absence (maternity/paternity, compassionate leave, parental leave), ensuring that the system is updated with employee absence periods.  - Ad hoc support, projects and queries: Providing employee rate information to the Business Finance Partner team. Updating the Motor Insurance Database with all hire car data. You will also provide ad hoc support to the HR Managers, Business Partners and HR Director. This will include full administrative support across a range of activities; including TUPE administration, employee transfers, filing, data management and general queries.  Key Competencies / Skills :   Mandatory skills :  - Good knowledge of the Microsoft Office suite is essential  - Applicants should be able to demonstrate a strong client focus, with a proactive approach towards the delivery of their duties and a positive attitude to all tasks. Strong organisational skills, attention to detail and use of their own initiative are qualities vital to the role  - Applicants should also have excellent communication and interpersonal skills at all levels  - Candidates should be strong team players, committed and willing to take on new challenges  - Ability to accommodate changing workload priorities  Desired skills :  - Experience in an office environment is required.  - HR Admin experience is desirable   - A positive attitude with a strong work ethic is key  - Experience of an HR system would be good to have but is not essential  Qualifications :  - MBA in HR preferred  - 5 to 10 years of experience in HR operations
