Job Title: Lead - Facilities, Premises, Security & Estate Management

Location: Mumbai, India

Job Summary: Seeking a highly experienced and dedicated Facility Lead to oversee Facilities & Estate Management function, covering space planning & development, premises administration, tenant & estate management, security, and workplace services. The ideal candidate will be a strategic leader with a professional background in project, security and maintenance management. This role requires a proactive individual who can effectively strategize project assignments, visualize realistic timelines, ensure flawless quality-oriented execution and ensure zero downtime for facilities. Besides this, the incumbent should be able to escalate issues/challenges in timely manner, coordinate effectively with various stakeholders including Government authorities, and ensure the smooth and secure functioning of our critical infrastructure. A background in Civil Engineering is highly preferred.

Key Responsibilities:


- Strategic Leadership


- Develop and implement the long-term facilities and strategy aligned with organizational growth.


- Anticipate space, security, and estate-related needs and create scalable solutions for business expansion.


- Guide site selection, master planning, and workplace design standards (ergonomics, employee experience, aesthetics).


- Drive sustainability, innovation, and digitization in facilities management.


- Provide thought leadership on optimizing cost and improving efficiency.

Project Management:


- Strategize and visualize project assignments with feedback from Management stakeholders.


- Lead and manage facility-related projects from conception to completion, ensuring adherence to timelines, budgets, and quality standards.


- Coordinate with internal departments, contractors, and vendors for project execution.


- Govern large-scale development and fit-out projects, ensuring timely, cost-efficient, and compliant execution.


- Develop project scopes, specifications, and tender documents.


- Monitor project progress, identify potential risks, and implement mitigation strategies.

Stakeholder Coordination & Issue Escalation:


- Demonstrated ability to effectively identify, analyze, and escalate critical issues to senior management and relevant stakeholders.


- Proactively coordinate with government authorities (e.g., fire department, police, municipal corporations, regulatory bodies) for approvals, compliance, and resolution of facility-related matters.


- Build and maintain strong working relationships with internal teams, vendors, tenants and external agencies.

Maintenance Management:


- Oversee the planned preventative maintenance (PPM) and reactive maintenance of all building systems, including HVAC, electrical, plumbing, fire safety, and structural elements.


- Develop and implement maintenance schedules and procedures to ensure optimal facility performance and longevity.


- Manage relationships with external maintenance contractors and service providers, ensuring service level agreements (SLAs) are met.


- Implement energy efficiency initiatives and sustainable facility practices.


- Maintain accurate records of maintenance activities and expenditures.

Security & Risk Management:


- Develop, implement, and enforce comprehensive security protocols and procedures


- Oversee the deployment and maintenance of security systems (CCTV, access control, alarm systems, etc.).


- Conduct regular security audits and risk assessments, implementing corrective actions as needed.


- Liaise closely with internal security teams, external security agencies, and law enforcement.


- Monitor emerging threats and recommend proactive interventions


- Develop and manage emergency response plans and business continuity protocols.

Estate & Tenant Management:


- Define policies and lay guidelines (Dos & Donts) for tenants to ensure safety, compliance, and harmony.


- Oversee correct billing of rental and timely collection.


- Act as the policy-level authority for tenancy agreements, renewals, and lease governance.


- Supervise handling of legal cases/disputes, ensuring alignment with the companys legal Dept.

Governance & Oversight:


- Set policies, SOPs, and control frameworks to ensure effective operations.


- Review MIS, dashboards, and compliance reports to monitor performance.


- Escalate and address strategic issues with senior leadership/board when required.

Qualifications:


- Bachelors degree in civil engineering is highly preferred. Other relevant engineering disciplines or a strong proven track record in facility management will also be considered.


- Minimum of 18+ years of progressive experience in facility management, with a significant portion in a leadership role within a large-scale or critical infrastructure environment.


- Proven experience in Security Management is essential.


- Strong background in Project Management, with demonstrated success in managing complex facility projects.


- Expertise in Maintenance Management, including both preventative and reactive maintenance strategies.


- Demonstrated ability to effectively escalate issues and coordinate with government authorities.


- Excellent leadership, communication, and interpersonal skills.


- Strong problem-solving and decision-making abilities.


- Proficiency in facility management software and MS Office Suite.


- Knowledge of relevant building codes, safety regulations, and environmental standards
