Job Description:
Key Responsibilities:
Strategic Administration Leadership:
- Define and implement company-wide administrative policies, SOPs, and governance frameworks
- Align administrative operations with business growth, compliance, and cost optimization goals
- Act as a strategic partner to HR, Finance, Legal, and Operations teams
Facilities & Infrastructure Management:
- Oversee administration of corporate offices, manufacturing plants, warehouses, and guest houses
- Ensure smooth functioning of facilities including security, housekeeping, utilities, transport, and cafeteria services
- Lead infrastructure planning, office expansions, relocations, and space optimization initiatives
Vendor & Contract Management:
- Manage end-to-end vendor lifecycle including empanelment, negotiations, contracts, SLAs, and performance reviews
- Drive cost efficiencies through strategic sourcing, renegotiation, and consolidation
- Ensure compliance with statutory, safety, and contractual obligations
Compliance, Safety & Risk Management:
- Ensure adherence to statutory regulations related to administration, safety, fire, and environmental norms
- Coordinate audits, inspections, and regulatory interactions
- Lead crisis management, business continuity planning, and emergency response protocols
Travel, Transport & Asset Management:
- Oversee employee travel policies, logistics, fleet management, and guest management
- Manage company assets including allocation, tracking, and lifecycle management
Budgeting & Cost Control:
- Prepare and manage annual administrative budgets
- Monitor expenses, identify savings opportunities, and ensure optimal utilization of resources
- Provide MIS and dashboards to senior management
Team Leadership:
- Build, mentor, and lead a high-performing administration team across locations
- Set KPIs, review performance, and drive a culture of accountability and service excellence
Key Stakeholders:
- Senior Leadership & Management Committee
- HR, Finance, Legal, Procurement, Operations
- External Vendors, Government Authorities, Auditors
Candidate Profile:
Education:
- Graduate/Postgraduate in Administration, Management, Engineering, or related field
- Mandatory: Background from Indian Armed Forces (Army / Navy / Air Force) or equivalent paramilitary forces
Experience
- 12-20 years of experience in Administration / Facilities / Corporate Services
- Minimum 8-12 years of service in the Armed Forces with exposure to administration, logistics, infrastructure, or facilities management
- Proven experience in large manufacturing or diversified organizations (post-military corporate exposure preferred)
- Exposure to multi-location or pan-India operations preferred
