Head Administration Reports to : CEO Location : Mumbai Job Profile : - Implement structured Infrastructure & Facilities Management Services like Office Contracts Services (existing & new), Office Security & Insurances, Front & Travel Desk, AMCs management, Fire safety, Assets Management. - Plan, direct or co-ordinate for all administrative procedures and systems and devise ways to streamline various processes. - Ensure overall Office compliance across locations under a centralized control leading to cost saving and effectiveness. - Plan, direct, or coordinate security activities to safeguard company assets, employees, guests, or others on company property. - Design suitable security system for office & Plant. - Monitoring the function of security officers - Respond to medical emergencies, fire alarms or intrusion alarms, following emergency response procedures. - Manage complete Facilities and infrastructure set up including repair & maintenance. - Manage effectively facilities at HO & Plant, Vehicles, building management. - Oversee repair and maintenance of Head Offices, Plants, Warehouses/ Depots & Showrooms. - Asset Management, maintaining an inventory & keeping a proper record of company assets. - Identifying the commercial properties for office space with a view of expansion keeping the general amenities in view and setting up the facilities. - Developing and devising cost-effective sources, commercial negotiations and price fixation, component development, supply compliance and contracts management. - Liaoning with Government department such as registering authorities for registration of lease agreements on behalf of the company. - Liaoning with electricity department, municipal department, etc. for smooth services - Liasoning with police department for any assistance to staffs, members or organization in filling of complaint, FIR etc. - Device a business travel requisition & booking process across the organization. - Supervise travel, lodging/boarding arrangements. - Coordinate services/administrative support for events, such as accommodation and travel/transportation for participant staff, artists, facilities, catering, signage, displays, special needs requirements, printing and event security. - Arrange the availability of audio-visual equipment, transportation, displays and other event needs. - Monitor event activities to ensure compliance if any with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise. - Conduct post-event evaluations to determine improvements in future events - Develop event topics and choose featured speakers, eminent personalities in the network. - Prepare administration and related MIS. - Maintain records of event aspects, including financial details - Maintain and control the overall budgetary record and inventory for office administration function. - Provide periodic dashboards to the senior management team on expenditure versus budget allocated and cost efficiency measures.
