About the Company:

Our client is a leading, publicly listed Indian consumer and retail organization operating at significant scale across beauty, fashion, retail, distribution and warehousing. The business combines a large-scale online platform with a fast-expanding network of physical stores across India, and is recognized as one of the country's marquee names in the consumer internet and retail space.

The company is now consolidating its operations under a centralized enterprise operating model, bringing consistency, governance and enterprise-wide visibility to functions that have historically operated at the business-unit level, beginning with General & Administration.

Role Overview:

Our client is looking for a seasoned Head of Administration & Workplace Management leader to build and scale a truly integrated, enterprise-wide G&A function across Beauty, Fashion, Retail, Distribution, Warehousing and Corporate functions. This role goes significantly beyond traditional facilities management and offers the opportunity to lead one of the largest and most complex infrastructure, workplace and administration ecosystems in the Indian consumer and retail sector.

The role is responsible for managing a pan-India footprint comprising corporate offices, fulfilment centres, warehouses and a rapidly expanding retail network, while overseeing an annual G&A spend of approximately 145 crore. The incumbent will drive the administration agenda across occupancy, workplace services, utilities, travel, security, housekeeping, repairs & maintenance, vendor governance and business continuity.

The role reports to the Chief Investment Officer, and will partner closely with business leaders, finance, procurement, operations and technology teams to create scalable solutions that support rapid business growth while maintaining cost discipline.

Key Responsibilities:

1. Enterprise Transformation & Governance:

- Standardize processes, improve governance and build enterprise-wide visibility across all administration-related spends and services.

- Establish a stronger ownership framework as the organization transitions from business-unit-level administration to a centralized enterprise operating model.

- Partner closely with business leaders, finance, procurement, operations and technology teams to build scalable, enterprise-wide solutions.

2. Cost Optimization & Productivity:

- Lead a significant cost optimization and productivity agenda across the G&A function.

- Rationalize infrastructure costs and strengthen travel governance.

- Optimize security and housekeeping models, and implement preventive maintenance frameworks.

- Improve vendor performance through robust service-level management, with direct accountability for delivering measurable savings while enhancing employee and customer experience.

3. Technology & Data-Driven Operations:

- Evolve the function from a service delivery organization to a data-driven operating model.

- Deploy centralized dashboards, IoT-enabled asset monitoring and command centre capabilities.

- Build AI-led surveillance and predictive maintenance practices from the ground up, creating a benchmark administration function for the industry.

4. Sustainability:

- Spearhead solar energy deployment, energy efficiency and smart infrastructure initiatives across offices, stores and warehouses.

- Drive workplace sustainability programs that deliver both environmental and financial benefits in support of the company's long-term growth ambitions.

5. Core Administration & Infrastructure Management:

- Own occupancy, workplace services, utilities, travel, security, housekeeping, repairs & maintenance, vendor governance and business continuity across the pan-India footprint.

- Manage large, complex vendor ecosystems spanning corporate offices, fulfilment centres, warehouses and retail stores.

Experience & Qualifications:

- 15+ years of experience leading administration, G&A, facilities or infrastructure functions at large, multi-site scale.

- Track record across pan-India, multi-format environments, including corporate offices, warehousing/fulfilment and retail networks.

- Demonstrated ownership of large G&A budgets, with a track record of measurable cost optimization and vendor governance.

- Experience building or scaling technology-enabled administration capabilities, such as dashboards, IoT asset monitoring, command centres or predictive maintenance.

- Exposure to sustainability/ESG initiatives such as solar deployment and energy efficiency, preferred.

- Background in large-format consumer, retail, e-commerce or FMCG organizations, highly preferred.

Sector Background:

- Large-format Retail & E-Commerce.

- Consumer, FMCG & Beauty/Fashion Retail.

- Logistics, Distribution & Warehousing-heavy organizations.

- QSR / F&B or Hospitality chains with large multi-site infrastructure.

- Corporate Real Estate, Facilities Management or Infrastructure Services firms serving large enterprises.

Key Competencies:

- Operates at scale, comfortable owning a pan-India, multi-format infrastructure and administration ecosystem.

- Strong cross-functional influence, works fluidly with business leaders, finance, procurement, operations and technology.

- Cost stewardship, combines a savings mindset with a genuine focus on employee and customer experience.

- Digital transformation orientation, excited to build data-driven, technology-led capabilities from the ground up.

- Vendor and stakeholder management, experienced in governing large, complex vendor ecosystems.

- Builder mindset, energized by standing up a centralized function rather than maintaining an existing one.
