Role Overview:
The Head of Property Management will lead the strategic, operational, and experiential management of commercial offices, shared services, managed offices spaces and F&B retail zones. This role is responsible for ensuring seamless transitions from construction to operations, delivering superior client experiences, driving operational excellence, and embedding ESG principles across the portfolio.
Key Responsibilities:
1. Transition & Handover Management
- Coordinate with construction/project teams for snagging, commissioning, and defect management.
- Establish handover protocols and readiness checklists for client occupancy.
- Ensure timely activation of services and systems post-construction.
- Ensure fitout management and seamless transition of occupants from fitout phase to operations.
2. Operational Efficiency & Service Excellence
- Ensure that all properties are maintained to the highest standards, with a focus on safety, sustainability, and tenant satisfaction.
- Oversee the selection and management of third-party service providers, including maintenance, security, and cleaning contractors.
- Implement and monitor preventative maintenance programs to extend the life of building systems and reduce operational costs.
- Ensure KRA and KPA are defined for all operational aspects and tracked for performance monitoring.
3. Compliance, Safety & Risk Management
- Ensure full compliance with statutory regulations, fire safety norms, and building codes.
- Conduct regular audits and risk assessments across properties.
- Ensuring health and life safety regulations/ manuals are adhered on all site
- Implement emergency response plans and safety drills.
- Maintain documentation and reporting for regulatory and internal governance.
- Ensure occupant offices compliance and timely renewal of compliances.
4. ESG & Sustainability Performance
- Drive ESG initiatives including energy efficiency, waste management, and water conservation.
- Ensure buildings meet green certification standards (LEED, IGBC, WELL).
- Monitor and report ESG metrics; align operations with corporate sustainability goals.
- Promote inclusive, safe, and healthy environments for occupants and staff.
- Develop and implement and adhere to SOPs for all property management functions as per industry standards
- Leverage technology platforms to optimize operations and reporting.
5. Financial & Budgetary Control
- Prepare and manage annual operating and capital expenditure budgets for all properties under management.
- Establish financial controls and reporting mechanisms to ensure transparency, accuracy, and accountability.
- Monitor and analyze operating costs, identify cost-saving opportunities, and implement efficiency measures without compromising service quality.
- Oversee rent collection, CAM charges, and other receivables, ensuring timely invoicing and reconciliation.
- Track financial performance of each asset, including PCL analysis, variance reporting, and forecasting.
- Ensure timely vendor payouts and timely collection of dues.
6. Stakeholder & Client Experience Management
- Serve as client interface for ensuring high satisfaction and proactive issue resolution.
- Lead tenant onboarding/offboarding processes with a focus on seamless transitions.
- Implement feedback mechanisms and engagement programs to enhance tenant relationships.
- Collaborate with leasing, design, and fit-out teams to align property services with client expectations.
- Ensure seamless exit of tenants and handover back to Godrej.
7. Team Leadership & Cross-functional Collaboration
- Lead and mentor a team of property managers, facility executives, and support staff.
- Collaborate with internal teams including leasing, projects, legal, finance etc
- Represent property management in strategic planning and leadership forums.
- Ensure adequate trainings programs, R and R are conducted for the team members.
Technical & Functional Competencies:
- Expertise in building systems (HVAC, MEP, BMS), asset lifecycle, and maintenance protocols.
- Experience in managing transitions from construction to operations.
- Strong understanding of ESG frameworks and sustainability certifications.
- Proficiency in property management software and digital tools.
- Financial acumen and contract management skills.
Qualifications & Experience:
- Bachelor's degree in engineering, Real Estate, Facilities Management, or related field. MBA preferred.
- 17-20 years of experience in property/facilities management, with at least 5 years in a leadership role.
- Proven experience in managing Grade A commercial office spaces and retail environments.
- Strong leadership, communication, and stakeholder management capabilities.
