About the Role:
The Manager - Administration will be responsible for overseeing and managing the day-to-day administrative operations of the school campus at Haveli. This role ensures the smooth functioning of all non-academic services, including facilities management, maintenance, housekeeping, transport, and event coordination. The position requires strong organizational, leadership, and coordination skills to maintain a safe, efficient, and well-managed school environment that supports the institutions mission and operations.
Key Responsibilities:
Campus Operations & Maintenance:
- Oversee the general upkeep, cleanliness, and hygiene standards of the entire campus.
- Conduct regular facility rounds to ensure maintenance and repair of school assets, classrooms, and infrastructure.
- Coordinate with housekeeping, transport, IT, and maintenance teams for daily operational requirements.
- Monitor the efficiency and quality of vendor services, including maintenance contractors, housekeeping agencies, and transport providers.
- Ensure that safety, security, and environmental standards are consistently maintained across the premises.
Administrative Management:
- Manage data of all inquiries, communications, and follow-ups in coordination with the admissions and front-office teams.
- Track, manage, and follow up on payment dues and outstanding balances related to administrative operations.
- Maintain proper documentation, records, and reports related to campus administration, staff attendance, and inventory.
- Supervise security staff, verify their attendance records, and ensure effective campus security protocols are followed.
- Support in procurement of supplies, materials, and services as per school requirements while adhering to budgetary guidelines.
Event & Function Coordination:
- Plan and coordinate administrative arrangements for school events, functions, and celebrations.
- Ensure timely setup of venues, logistical support, and smooth execution of internal and external events.
- Liaise with relevant departments to manage guest arrangements, seating, sound systems, and facility readiness.
People & Team Coordination:
- Work collaboratively with department heads to support school operations and resolve administrative concerns.
- Guide and monitor administrative support staff to ensure timely task execution and adherence to processes.
- Foster a culture of accountability, teamwork, and service excellence within the admin department.
Key Requirements:
Education: Bachelors degree in Administration, Business Management, or related discipline (MBA preferred).
Experience: 5-7 years of relevant experience in administration, facility management, or operations - preferably in an educational institution or service-oriented organization.
Skills & Competencies:
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication, coordination, and problem-solving skills.
- Ability to manage vendor relationships, contracts, and budgets effectively.
- Proficiency in MS Office (Excel, Word, PowerPoint) and administrative record systems.
- Knowledge of health, safety, and facility compliance standards.
