About the Role:
We are seeking an organized and proactive Freight Documentation & Operations Manager to oversee all aspects of freight documentation and logistics operations for air and ocean shipments. This role is crucial in ensuring smooth and compliant movement of goods through timely documentation, efficient cargo handling, and coordination across stakeholders.
As a key liaison between shipping lines, freight forwarders, customs, and clients, you will ensure adherence to international shipping regulations while managing operational workflows end-to-end.
Key Responsibilities:
Documentation Management:
Prepare, review, and manage all necessary shipping documentation for air and ocean freight, including but not limited to:
- Bills of Lading (BOL)
- Commercial Invoices
- Packing Lists
- Certificates of Origin
- Customs declarations and other regulatory documents
Ensure accuracy and compliance of documents with international trade laws, customs requirements, and company policies.
Coordinate with customs brokers, carriers, and regulatory authorities to facilitate timely clearance and delivery of shipments.
Maintain records of all shipment documentation and ensure availability for audits and compliance checks.
Operational Coordination:
Oversee and manage the entire logistics operation for air and ocean freight shipments from origin to final delivery.
Track and monitor cargo uplift, vessel/voyage schedules, flight connections, and last-mile delivery.
Coordinate with freight forwarders, airlines, shipping lines, trucking companies, and warehouses to ensure seamless shipment execution.
Handle exceptions, delays, and disruptions proactively to minimize impact on delivery timelines.
Collaborate with sales, procurement, and customer service teams to address client inquiries and provide shipment status updates.
Required Skills & Experience:
- Minimum 2-3 years of experience in freight operations and documentation management, specifically in air and ocean freight.
- Strong knowledge of import/export documentation requirements and international shipping regulations (such as INCOTERMS, customs compliance).
- Familiarity with cargo handling processes, including air cargo uplift, container stuffing, and cargo delivery.
- Experience working with freight forwarding companies, shipping lines, customs authorities, and regulatory agencies.
- Ability to manage multiple shipments and documentation simultaneously with strong attention to detail.
- Excellent organizational and communication skills to coordinate effectively across internal teams and external partners.
- Proficient in logistics software and tools; experience with ERP or shipment tracking systems is a plus.
- Problem-solving mindset with the ability to handle operational challenges and urgent issues calmly and efficiently.
