Job Description:

We are seeking an experienced General Manager Administration to lead and manage end-to-end administration, facilities, infrastructure, workplace services, vendor management, compliance, and corporate support operations across multiple locations.

The role will be responsible for ensuring efficient business operations, maintaining high workplace standards, driving operational excellence, and supporting business growth through effective administration and infrastructure management.

The ideal candidate should possess strong expertise in administration management, facility operations, corporate services, liaisoning, statutory compliance, procurement, security management, and multi-location operations.

The role requires a proactive leader capable of driving process improvements, cost optimization, and employee workplace experience initiatives while ensuring compliance with organizational policies and regulatory requirements.

Key Responsibilities:

- Lead and manage end-to-end administration functions across corporate offices, regional offices, and business locations.

- Develop and implement administration policies, SOPs, governance frameworks, and operational controls.

- Ensure seamless day-to-day administration operations while maintaining high standards of efficiency, compliance, and service delivery.

- Drive continuous improvement initiatives to enhance workplace productivity and operational effectiveness.

- Manage administration budgets and identify opportunities for cost optimization without impacting service quality.

- Oversee facility management operations across PAN India locations, ensuring safe, efficient, and productive work environments.

- Manage office infrastructure, workspace planning, seating capacity, renovations, and workplace expansion initiatives.

- Lead the setup of new offices, branch locations, and business centers, including infrastructure planning, vendor coordination, statutory approvals, and operational readiness.

- Ensure preventive and corrective maintenance of office facilities, utilities, HVAC systems, electrical systems, DG sets, and workplace assets.

- Drive workplace modernization and employee experience initiatives.

- Develop and manage relationships with facility management vendors, service providers, contractors, landlords, and strategic partners.

- Lead vendor evaluation, onboarding, negotiations, contract management, and performance reviews.

- Manage procurement activities related to facilities, administration, infrastructure, office equipment, and workplace services.

- Ensure cost-effective procurement while maintaining service quality and compliance standards.

- Monitor vendor SLAs and implement governance mechanisms for performance management.

- Act as the primary point of contact with government authorities, municipal bodies, regulatory agencies, landlords, and external stakeholders.

- Manage statutory approvals, licenses, permits, registrations, renewals, and compliance requirements across locations.

- Ensure adherence to applicable local, state, and central regulations related to facilities and workplace operations.

- Support legal, compliance, and audit teams during inspections and regulatory reviews.

- Maintain documentation and records related to administration and compliance activities.

- Oversee physical security operations across offices and facilities.

- Manage access control systems, visitor management, surveillance systems, and security service providers.

- Ensure implementation of workplace safety, emergency response, and business continuity procedures.

- Manage company assets, inventory controls, and asset lifecycle processes.

- Oversee maintenance and utilization of company-owned vehicles and transportation services.

- Ensure delivery of high-quality workplace services including housekeeping, cafeteria management, transport coordination, employee amenities, and office support functions.

- Collaborate with HR, IT, Finance, and business teams to support organizational initiatives and employee engagement programs.

- Drive workplace health, safety, and environmental standards.

- Support business continuity planning and crisis management initiatives where required.

Team Leadership & Governance:

- Lead and mentor administration, facilities, and support services teams across locations.

- Establish performance metrics, operational KPIs, and governance frameworks.

- Conduct regular reviews of administration processes and identify improvement opportunities.

- Foster a culture of accountability, customer service, operational excellence, and continuous improvement.

- 8 - 12 years of experience in Administration, Facilities Management, Corporate Services, or Workplace Operations.

- Proven experience managing multi-location administration and facilities operations.

- Strong experience in office setup, infrastructure management, vendor management, and corporate administration.

- Expertise in liaisoning with government authorities, landlords, and regulatory bodies.

- Strong understanding of facility operations, workplace services, and statutory compliance requirements.

- Experience managing procurement processes, vendor contracts, and operational budgets.

- Knowledge of workplace safety, security management, asset management, and business continuity practices.

- Excellent stakeholder management, negotiation, and communication skills.

- Strong problem-solving, planning, and execution capabilities.

Preferred Qualifications:

- Bachelor's degree in Business Administration, Facilities Management, Operations Management, Engineering, or a related discipline.

- MBA or relevant management qualification preferred.

- Certifications in Facilities Management, Administration, Workplace Management, or Project Management will be an advantage
