Description:


Role Purpose

The Director of Operations, Administration & Facilities will be responsible for strategic planning, operational excellence, and governance of corporate facilities and administrative services across multiple locations. This leadership role demands expertise in Integrated Facility Management (IFM), ESG & sustainability programs, financial governance, vendor management, and technology-driven innovation to deliver a safe, efficient, and future-ready workplace environment.

Core Responsibilities:

Strategic & Operational Leadership:

- Develop and execute long-term strategies for facilities and administrative operations, aligned with organizational goals.

- Oversee end-to-end management of corporate real estate, including workspace planning, leasing, and utilization optimization.

- Drive business continuity planning and crisis management, ensuring operational resilience during emergencies.

Facilities & Workplace Management:

- Implement Integrated Facility Management (IFM) across all sites, ensuring service quality and cost efficiency.

- Manage preventive maintenance, asset lifecycle management, and space optimization for 1M+ sq.ft. of office space.

- Ensure compliance with health, safety, and environmental standards across all facilities.

Administration & General Services:

- Oversee security, transport, cafeteria, housekeeping, and mailroom operations with strong governance frameworks.

- Introduce automation tools for transport scheduling, visitor management, and general services workflows.

Financial Governance:

- Own CAPEX and OPEX budgeting, financial forecasting, and cost optimization strategies.

- Monitor vendor contracts, SLAs, and performance metrics to ensure maximum ROI and operational efficiency.

ESG & Sustainability Leadership:

- Drive energy and water conservation programs, renewable energy adoption, and green building certifications.

- Implement carbon footprint reduction initiatives and ensure compliance with global sustainability standards.

Technology & Innovation:

- Deploy smart building technologies, IoT-based monitoring systems, and workplace automation platforms.

- Champion digital transformation initiatives to enhance employee experience and operational efficiency.

Vendor & Stakeholder Management:

- Consolidate vendor ecosystem, negotiate contracts, and enforce governance for multi-million-dollar service agreements.

- Collaborate with senior leadership, HR, and cross-functional teams to align workplace strategies with business objectives.

Key Performance Indicators (KPIs):

- Operational Efficiency: Reduction in facility management costs by X%.

- Sustainability Impact: Achieve energy savings of X% and water conservation targets.

- Compliance: Zero non-compliance incidents in audits and certifications.

- Employee Experience: Improve workplace satisfaction scores by X%.

- Innovation: Implement at least X automation initiatives annually.

Required Skills & Competencies:

- Expertise in Corporate Real Estate, IFM, and Administration for large-scale operations.

- Strong knowledge of ESG programs, sustainability frameworks, and compliance standards.

- Financial acumen in CAPEX/OPEX planning and governance.

- Excellent leadership, stakeholder engagement, and vendor negotiation skills.

- Familiarity with technology automation tools, IoT, and workplace innovation platforms.

- Certifications in ISO standards, Lean methodologies, or sustainability preferred.

Qualifications:

- Graduate/Postgraduate in Business Administration, Facilities Management, or related field.

- 18+ years of experience in Operations, Administration, and Facilities Management in large corporate environments.

- Proven track record in multi-site operations, large team leadership, and strategic transformation projects.
