Description:
The Clinical Counsellor Administration Head is a pivotal leadership role responsible for overseeing the administrative and operational functions of the clinical counseling department. This role involves managing a team of administrative staff, ensuring efficient workflows, and maintaining compliance with healthcare regulations. The individual will collaborate closely with clinical directors, counselors, and other stakeholders to optimize service delivery and enhance the overall client experience, ultimately contributing to improved patient outcomes and organizational effectiveness.
Key Responsibilities:
- Develop and implement administrative policies and procedures to streamline operations within the clinical counseling department, ensuring efficient service delivery and adherence to best practices.
- Manage and supervise administrative staff, providing guidance, training, and performance evaluations to foster a high-performing and collaborative team environment.
- Oversee the scheduling and coordination of client appointments, ensuring optimal resource utilization and minimizing wait times to enhance client satisfaction.
- Monitor and maintain accurate client records and documentation, ensuring compliance with privacy regulations and organizational standards to protect client confidentiality and data integrity.
- Collaborate with clinical directors and counselors to identify and address operational challenges, implementing solutions to improve workflow efficiency and enhance the quality of care provided.
- Manage the budget for the administrative department, monitoring expenses and identifying cost-saving opportunities to ensure financial sustainability and responsible resource allocation.
- Prepare and analyze reports on key performance indicators, providing insights to leadership on operational effectiveness and identifying areas for improvement to drive continuous quality enhancement.
- Ensure compliance with all relevant healthcare regulations and accreditation standards, maintaining up-to-date knowledge of industry best practices and implementing necessary changes to policies and procedures.
- Act as a liaison between the clinical counseling department and other departments within the organization, fostering effective communication and collaboration to ensure seamless service delivery and a positive client experience.
Required Skillset:
- Demonstrated ability to lead and manage administrative teams, fostering a collaborative and high-performing work environment.
- Proven expertise in developing and implementing administrative policies and procedures within a healthcare setting.
- Strong understanding of healthcare regulations and compliance requirements, particularly related to mental health services.
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with clinical staff, administrative teams, and other stakeholders.
- Proficient in using electronic health record (EHR) systems and other relevant software applications.
- Demonstrated ability to analyze data and prepare reports on key performance indicators.
- Strong problem-solving and decision-making skills, with the ability to identify and address operational challenges effectively.
- Bachelor's degree in Psychology, Healthcare Administration, Business Administration, or a related field; Master's degree preferred.
- Adaptability to work in an on-site setting in Gurgaon/Gurugram.
