Role Overview

Senior Manager Office Administration will lead all office, facilities, and administrative operations for the company. This role partners closely with Leadership, HR, IT, Finance, and cross-functional teams to ensure our workplace is efficient, compliant, employee-friendly, and aligned with ClearTaxs culture of speed, ownership, and customer-first thinking.

Role Outcome

Workplace & Facilities Operations

- Oversee day-to-day operations of ClearTaxs Bangalore HQ and other office locations.

- Manage workplace services: security, housekeeping, reception, cafeteria/pantry, transport, and overall facilities.

- Drive space planning, seating allocation, and office expansion/relocation projects as the organisation scales.

- Ensure adherence to safety, fire compliance, hygiene, and building regulations.

Administration & Operational Excellence

- Build and strengthen SOPs, policies, and processes to support a fast-paced, high-growth environment.

- Lead travel, events, and logistics for internal/external meetings, offsites, leadership summits, and company wide engagements.

- Implement automation and digital tools to improve operational efficiency.

- Liaise with HR, IT & Infra, Finance, and Business teams for smooth cross-functional program Execution

Vendor & Procurement Management

- Manage all administration-related vendors including facility partners, AMCs, travel, events, and security.

- Run vendor evaluations, negotiate contracts, and ensure strong SLAs and compliance.

- Drive cost optimisation while maintaining high-quality service standards.

Budgeting & Cost Control

- Own administrative budgets for office operations, facilities, workplace projects, and travel.

- Track expenses, manage forecasts, and ensure adherence to procurement policies.

- Identify cost-saving opportunities without impacting employee experience.

Team Leadership

- Lead and mentor admin, office operations, and facilities teams.

- Set clear goals, monitor performance, and build a culture of responsiveness and ownership.

- Foster an employee-first mindset across the workplace operations team.

Employee Experience

- Drive initiatives that improve workplace efficiency, employee comfort, and overall experience.

- Ensure a professional, welcoming, and productive environment for employees and visitors.

- Oversee access management, employee support tasks, and general office services.

Required Skills & Experience

- Bachelors degree; MBA/PGDM preferred.

- 8 to 14 years of experience in office administration, facilities management, or workplace operations.

- Experience in tech, SaaS, or high-growth startup environments preferred.

- Strong leadership, stakeholder management, and project execution abilities.

- Hands-on experience in vendor management, budgeting, and administrative operations.

- Ability to thrive in a fast-paced environment with high ownership and agility.

- Excellent communication, negotiation, and problem-solving skills.
